Position Overview: We are seeking a detail-oriented and motivated Purchasing Assistant with a degree in Customs Administration to join our team. The ideal candidate will have a strong understanding of customs regulations, procurement processes, and supply chain management. This role is essential in ensuring that our purchasing activities are compliant with international trade laws and company policies.
Key Responsibilities:
1.Inventory monitoring
1.1 Monitors stock movement of products.
1.2 Requests for order of critical stocks.
1.3 Monitors incoming shipments.
1.4 Submits reports of inventory on hand & incoming shipments
2.Purchasing
2.1 Makes purchase order upon approval of the requests by the President
2.2 Sends Purchase Order to Principal
3. Importation documentation
3.1 Requests proforma invoice from Principal for import permit application by regulatory department.
3.2 Follow up availability of goods and shipping status to Principal
3.3 Requests draft shipping documents to suppliers for checking, such as invoice, packing list, certificate of origin, bill of lading.
3.4 Ensures that original documents were sent to the bank 10 days before the due date of payment
4.Shipment Monitoring
4.1 Coordinate shipping schedule of goods and provide advance email copy ofshipping documents to Customs Broker.
4.2 Monitors departure and arrival of all imported goods and give updates to the management, especially on delayed arrivals or any changes in the shipping schedule.
4.3 Ensures the validity of the Import permit.
4.4 Sends emails to Principal for inquiries with regards to import documents.
5. Customer Service
5.1 Maintains good relationship with Principal counterpart..
5.2 Answer email inquiries and concerns from various departments and Principal in matters related to importation and import purchasing.
Qualifications:
- Bachelor's degree in Customs Administration, any business course or a related field.
- Knowledge of customs regulations, import/export procedures, and supply chain management.
- Strong organizational and analytical skills.
- Excellent communication and negotiation abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with procurement software is a plus.
- Ability to work effectively both independently and as part of a team.
Preferred Skills:
- Prior experience in a purchasing or procurement role.
Job Types: Full-time, Permanent
Pay: Php14, Php15,000.00 per month
