A Purchasing Staff is responsible for procuring goods, materials, and services necessary for the company's operations. This role ensures that all purchases are made in a cost-effective and timely manner, adhering to budget and quality standards.

  • Maintain Article Master Data Creation for non-trade items such as furniture & fixtures, marketing materials, and other related items.
  • Review order forecasts / order sheets submitted by brand merchandisers for pre-booking of supplier orders.
  • Upload and process pre-book orders through respective supplier portals.
  • Monitor and validate unit costs of items and update purchasing information in the system.
  • Verify purchase requisitions for all brands prior to Purchase Order creation.
  • Create Purchase Orders in the system and transmit to suppliers for confirmation.
  • Review and validate Proforma Invoices, ensuring quantities and pricing are aligned with the corresponding Purchase Orders.
  • Coordination with Finance in scheduling payables for all import orders and ensure alignment with allocated budgets.
  • Coordination with Treasury in Preparing and completing payment documentation for supplier settlements.
  • Communicate regularly with foreign suppliers regarding purchase orders, shipment schedules, product availability, and payment-related matters.
  • Monitor incoming shipments by preparing and updating order summaries per brand.
  • Generate monthly purchase reports per brand and share with concerned departments for reporting and analysis.
  • Update payment monitoring sheet for budgeting, payment tracking and submission for approval.
