I. Principal Purpose of Job (Job Summary)

The Reservation Associate is responsible for handling guest reservations efficiently, ensuring accuracy in bookings, and providing excellent customer service. This role involves responding to inquiries, managing room availability, processing bookings through various channels (phone, email, OTA platforms), and assisting with revenue optimization by upselling rooms and packages

Il. Job Duties & Responsibilities

  1. Follow department policies, procedures and service standards.
  2. Processes reservations by mail, telephone, travel agency and from the Sales Department.
  3. Assist guests in modifying or canceling reservations as per hotel policies.
  4. Offer personalized recommendations and ensure guest expectations are met.
  5. Resolve any reservation-related complaints in a courteous and timely manner.
  6. Responds to all guest reservation requests and executes prompt, courteous and accurate guest service at all times.
  7. Fully knowledgeable about hotel guest rooms, rates, promotions, amenities, hotel facilities and services.
  8. Answer guest inquiries pertaining to hotel services.
  9. Knows the selling status, rates, and packages.
  10. Creates and maintains reservation records by date of arrival and alphabetical listing.
  11. Prepares and sends confirmation letters.
  12. Processes cancellations and modifications and promptly relays this information to the front desk.
  13. Understands the hotel's policy on guaranteed reservations and no-shows.
  14. Processes advance deposits on reservations.
  15. Prepares expected arrival list for front office use.
  16. Monitors advances deposit requirements.
  17. Maintains a clean and neat appearance and work area at all times.
  18. Promotes goodwill by beings courteous, friendly, and helpful to guests, mangers, and fellow employees.
  19. To be aware of all front office procedures and assist with reception duties when required
  20. Configuring rates on the hotels property management system.

Job Requirements:

  • Must be 5'4 in height
  • Graduated Bachelor's Degree in Tourism Management or a related field
  • Computer literate or knowledgeable in working with Microsoft Word, Microsoft Excel, etc.
  • Fresh Graduates are welcome to apply
