Real Estate Sales Admin Head (also referred to as Sales Administration Manager or Division Head) is a leadership role responsible for managing and streamlining all administrative, operational, and support functions of the sales department to drive efficiency and ensure compliance.

Key Responsibilities

  • Process Management: Oversee and manage the entire sales administration process, including lead distribution, transaction coordination, and document management.
  • Team Leadership & Supervision: Train, supervise, and mentor the sales administration staff and sales support teams, planning and appraising job results to maximize potential.
  • Documentation & Compliance: Ensure accuracy and completeness of all sales documentation, contracts, agreements, and client records, adhering to legal and company policies and procedures.
  • Data & Reporting: Manage the CRM (Customer Relationship Management) system and other databases. Generate and analyze sales performance reports, trends, and forecasts for management to support strategic planning.
  • Coordination & Communication: Act as the primary liaison between the sales team and other departments, such as Marketing, Finance, Operations, and Legal, to ensure a smooth flow of information and resources.
  • Customer Service & Support: Oversee the handling of customer inquiries and after-sales support, ensuring high levels of client satisfaction throughout the sales process.
  • Commission Processing: Ensure the timely and accurate processing and release of commissions to brokers and agents.
  • Process Improvement: Monitor and manage sales administration systems to optimize workflows, automate manual tasks, and implement technology solutions to enhance productivity and reduce costs.
  • Bank Take-Out Assistance: Assists clients in getting a bank loan either with institutions or Pag-Ibig so that they can pay off the full balance of the property they purchased with the company

Qualifications & Requirements

  • Education: A Bachelor's degree in Business Administration, Real Estate, Marketing, or a related field is typically required.
  • Experience: At least 2-3 years of proven experience in a sales administration, sales operations, or administrative management role within the real estate industry is preferred, with a track record of success.
  • Skills:
  • Strong leadership, communication, and interpersonal skills.
  • Excellent organizational, multitasking, and problem-solving abilities, with meticulous attention to detail.
  • Proficiency in CRM software and MS Office Suite (especially spreadsheets for data analysis).
  • Strong knowledge of real estate sales operations, documentation, and industry regulations.
  • Ability to work in a fast-paced and dynamic environment.
