Job Description

Executive Assistant (EA)

The EA provides proactive, high-level administrative support to designated Partners/Directors by leveraging a deep understanding of the firm's operations. The role focuses on enabling leaders to work efficiently, prioritize strategically, and deliver timely, high-quality service to internal and external stakeholders. For Partners with additional leadership responsibilities (e.g., NMP, State Office Chair), the EA supports key strategic priorities through advanced administrative capability.

Key Responsibilities

  • Manage correspondence, schedules, and calendars using Microsoft Office.
  • Proactively review diaries, resolve clashes, and coordinate with stakeholders and other EAs.
  • Understand stakeholder priorities to guide scheduling decisions.
  • Arrange all meeting requirements and attend meetings to take minutes when needed.
  • Coordinate domestic and international travel, including travel-related administrative tasks and expenses.
  • Assist in planning and managing events.

Operational Management & Reporting

  • Ensure timely completion of timesheets, expense claims, and transfers.
  • Process WIP/CRM reports and support financial management tasks.
  • Provide administrative backup to colleagues during absences.

People Support

  • Complete all performance management tasks (goals, check-ins, engagement reviews).
  • Provide recruitment administrative support.
  • Assist in onboarding/offboarding, including asset collection and reconciling People Movements Reports.
  • Help with People Direct and CEC enquiries.
  • Build strong networks across the firm and maintain independence compliance.

Knowledge & Professional Conduct

  • Share knowledge to uplift capability across the EA/EATL/SLS network.
  • Complete mandatory training and pursue further skill development.
  • Handle confidential information with integrity and escalate issues when appropriate.
