Key Responsibilities:1. Sourcing and Supplier Selection

  • Identify, evaluate, and recommend potential suppliers based on cost, quality, reliability, and service.
  • Conduct due diligence and vendor background checks to ensure compliance and reliability.

2. Purchasing Goods and Services

  • Prepare, process, and issue Purchase Orders (POs) accurately and on time.
  • Negotiate pricing, payment terms, and delivery schedules with vendors.
  • Coordinate with departments to ensure timely acquisition of required goods and services.

3. Contract Management

  • Draft, review, and manage procurement-related contracts and agreements.
  • Ensure all contracts comply with legal and regulatory standards.
  • Maintain an organized repository of all procurement documentation.

4. Supplier Relationship Management

  • Build and maintain strong professional relationships with key suppliers.
  • Monitor supplier performance, address issues, and ensure service-level compliance.

5. Cost Control and Budgeting

  • Manage procurement activities within allocated budgets.
  • Identify cost-saving opportunities and process improvements.
  • Track expenses, pricing changes, and vendor performance to optimize spend.

6. Market Research

  • Conduct regular market research to stay informed about price trends and availability.
  • Anticipate supply risks or cost fluctuations and recommend contingency plans.

7. Compliance and Documentation

  • Ensure all procurement activities adhere to company policies and legal requirements.
  • Maintain accurate and complete procurement and inventory documentation.

8. Stock Level Monitoring

  • Track and maintain optimal inventory levels to prevent stockouts or overstocking.
  • Utilize inventory management systems to ensure real-time stock accuracy.

9. Receiving and Storing Goods

  • Verify incoming shipments for accuracy, quantity, and quality.
  • Ensure goods are properly stored, labeled, and secured in designated areas.

10. Inventory Audits

  • Conduct regular physical inventory checks and reconciliations.
  • Investigate and resolve discrepancies between physical and system records.

11. Inventory Forecasting

  • Analyze sales and usage trends to predict future inventory needs.
  • Plan and schedule reorders to maintain consistent supply levels.

12. Stock Rotation and Control

  • Implement FIFO (First-In, First-Out) or LIFO (Last-In, First-Out) systems as appropriate.
  • Monitor product shelf life, expiry, or obsolescence to minimize waste.

13. Reporting

  • Generate and present periodic inventory and procurement reports.
  • Analyze inventory turnover, supplier performance, and cost trends for management review.

14. Loss Prevention

  • Monitor for risks of theft, damage, or loss of inventory.
  • Enforce safety, security, and accountability measures within storage areas.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or any related field.
  • 2–3 years of experience in procurement, inventory, or purchasing operations.
  • Strong negotiation, analytical, and organizational skills.
  • Proficient in procuremen with good communication and supplier management skills.
  • Knowledge of procurement best practices.
