1. Property Operations Management

  • Oversee day-to-day operations of multiple properties, ensuring smooth and efficient facility management.
  • Ensure all building systems, utilities, and common areas are properly maintained and functioning.
  • Implement preventive maintenance programs and coordinate corrective actions as needed.
  • Conduct regular site inspections and ensure adherence to safety, security, and cleanliness standards.

2. Tenant Relations

  • Maintain strong, professional relationships with tenants and address their concerns promptly.
  • Lead tenant onboarding and orientation, ensuring understanding of property rules and guidelines.
  • Manage lease administration, renewals, tenant compliance, and enforcement of house rules.
  • Ensure timely resolution of tenant complaints and promote high tenant satisfaction.

3. Financial Management

  • Oversee the preparation and monitoring of annual budgets for assigned properties.
  • Review monthly financial reports, utility consumption, variance analysis, and operating expenses.
  • Ensure timely collection of dues, rent, and other receivables; implement strategies to reduce delinquency.
  • Approve purchases, contracts, and disbursements in accordance with company policies.

4. Staff Leadership & Development

  • Supervise Property Managers, Building Engineers, and other site personnel.
  • Assign tasks, monitor performance, and conduct regular coaching sessions.
  • Support HR in recruitment, onboarding, and training of site-based employees.
  • Foster a culture of professionalism, teamwork, and continuous improvement.

5. Compliance & Risk Management

  • Ensure compliance with government regulations, building permits, fire safety policies, and corporate standards.
  • Coordinate and monitor corrective actions from audits and regulatory inspections.
  • Oversee incident reporting, safety protocols, and emergency response procedures.

6. Vendor & Contract Management

  • Manage service contractors such as security, housekeeping, landscaping, and specialized maintenance providers.
  • Review service contracts, evaluate performance, and recommend renewal or replacement.
  • Ensure vendor compliance with service level agreements (SLAs) and company standards.

7. Reporting & Documentation

  • Prepare regular operational reports, including incidents, maintenance updates, collection performance, and tenant concerns.
  • Provide management with insights and recommendations for operational improvements.
  • Maintain accurate records, contracts, permits, and property documentation.
