Duty Manager

The Duty Manager is responsible for overseeing daily property operations to ensure smooth and efficient management of the premises. This includes supervising staff, addressing tenant and guest concerns, monitoring building maintenance and security, and ensuring that all property policies and standards are consistently implemented and followed. The Duty Manager acts as the point person for operational concerns during assigned shifts and ensures that service delivery meets company and client expectations.
1. Operations Management
- Oversee daily operations of the property to ensure efficiency, safety, and tenant satisfaction.
- Coordinate with various departments such as housekeeping, engineering, and security to maintain seamless operations.
- Conduct routine inspections of common areas, facilities, and equipment to ensure cleanliness, functionality, and compliance with company standards.
- Address and resolve operational issues promptly during the assigned shift.
2. Tenant and Guest Relations
- Serve as the primary contact for tenants and guests during duty hours.
- Respond to tenant complaints, requests, and emergencies in a timely and professional manner.
- Ensure excellent customer service and promote a positive tenant experience.
- Prepare incident or feedback reports for management review and follow-up actions.
3. Staff Supervision and Coordination
- Supervise on-duty personnel (security, housekeeping, maintenance, etc.) to ensure performance and discipline.
- Conduct briefings or handovers between shifts to ensure continuity of operations.
- Support staff scheduling and assist in coordinating manpower for events, emergencies, or peak operational hours.
4. Safety and Security
- Monitor and ensure compliance with safety, security, and emergency protocols.
- Respond to and manage emergency situations (e.g., fire alarms, power outages, accidents) following company procedures.
- Coordinate with security teams to ensure the safety of tenants, guests, and property assets.
5. Reporting and Documentation
- Prepare and submit daily activity, incident, and inspection reports.
- Monitor and document building issues and report to the Property Manager for corrective actions.
- Maintain proper documentation and logs for reference and accountability.
6. Administrative Support
- Assist in implementing company policies and property guidelines.
- Support the Property Manager in coordinating vendor and contractor activities.
- Participate in meetings, training sessions, and property audits as required.
