Project Based Admin Assistant

The Administrative Assistant (Project-based) will provide clerical and organizational support, managing schedules, handling correspondence, maintaining files and databases, and assisting with general office tasks.

Core Responsibilities

  • Scheduling and communication - Answering phone calls, managing calendars, scheduling meetings, and handling incoming and outgoing calls and emails
  • Document and Record Management - Prepare, edit, and file various documents, reports, and memos. Maintain organized electronic and physical filing systems and databases.
  • Office Coordination - Order and manage office supplies, assist with billings, and prepare expense reports
  • Support - Act as a point of contact for internal teams and external clients, and provide general administrative support to employees
  • Daily coordination and collection with clients regarding payment status
  • Checking the RFP of employees
  • Receiving of invoices from vendors
  • Printing and preparation of RFP from vendors (admin)
  • Monitoring and encoding of Grab Express expenses
  • Monitor inventory of office supplies
  • Order and purchase of office and pantry supplies
  • Coordination with BDN on billings and other admin matters
  • Preparation and coordination of the delivery of Christmas gifts to clients
  • Dispatching of PR kits to clients

Qualifications

  • With at least 6 months of experience handling admin support, clerical work, and admin stuffs
  • Amenable to work on a hybrid setup in Makati City (at least 3 days onsite, 2 days remote)
  • Will be working on a project based status depending on performance, and can be absorbed as a permanent employee
  • Can start IMMEDIATELY

Job Type: Temporary

Contract length: 5 months

Pay: Php15, Php18,000.00 per month
