Administrative Assistant

The Administrative Assistant is responsible for confidential and time-sensitive material and will often work independently with little supervision.
Administrative Support:
- Produce and distribute correspondence memos, letters, and forms.
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a filing system.
Office Management:
- Oversee daily office operations, ensuring everything runs smoothly.
- Manage office supplies, inventory, and ensure the workplace is well-organized.
Document Management:
- Prepare, file, and maintain company documents, records, and reports.
- Handle confidential and sensitive information with discretion.
Data Entry and Reporting:
- Enter and update data into company systems or databases.
- Assist in generating and maintaining reports as required by various teams.
Communication Support:
- Write and distribute email, correspondence memos, letters, and forms.
- Handle sensitive information in a confidential manner.
- Serve as a point of contact between departments, clients, and external partners.
Clerical Duties:
- Maintain office policies and procedures.
- Submit and reconcile expense reports.
- Provide general support to employees.
- Assist in Timekeeping and Attendance tracking
Technical Tasks:
- Use of office software (MS Office, etc.) for various tasks.
- Operate office equipment, such as printers, etc.
Qualifications:
- High School diploma or equivalent; college degree preferred.
- Proven previous administrative or assistant experience is ideal.
- Average English communication skills both in written and verbal.
Skills:
- Skilled in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and other administrative tools.
- Ability to address challenges proactively and find solutions to issues that may arise in day-to-day operations.
- Ability to manage multiple tasks, prioritize effectively, and stay organized in a fast-paced environment.
- Ability to focus on the small details to ensure accuracy in data entry, scheduling, and document preparation.
- Excellent verbal and written communication skills to interact with internal teams, clients, and vendors professionally.
- Strong ability to manage deadlines, schedules, and appointments, ensuring timely completion of tasks.
- Ability to manage various administrative tasks simultaneously without compromising quality or deadlines.
- Ability to adapt to changing priorities and business needs, remaining flexible in a dynamic work environment.
Working Conditions:
- This position may require occasional evening work.
- The role is primarily office-based.
- Must be amenable to work in Makati.
