Position Summary
The Finance and Admin Officer is responsible for managing financial transactions, overseeing budgeting and cost control, ensuring compliance with financial policies, and optimizing financial processes related to fulfillment operations. This role requires a keen eye for detail, strong analytical skills, and the ability to work in a fast-paced environment.
Job Responsibilities
Financial Operations & Reporting
Monitor and manage financial transactions related to fulfillment operations.
- Ensure accurate recording of all financial transactions in compliance with company policies and tax regulations.
- Prepare and validate financial reports, ensuring completeness and accuracy.
- Assist in budget preparation, budget requests, audits, statutory registrations, and financial compliance.
- Develop and implement internal financial controls to enhance efficiency.
Support the Finance Manager in ensuring financial report accuracy and completeness.
Billing & Invoicing
Manage billing processes based on an agreed price matrix per location/courier.
- Prepare invoices and ensure timely collection of payments from clients/customers.
- Process refunds for lost packages based on insured amounts.
- Identify and resolve billing discrepancies by reconciling fulfillment records.
Summarize prices based on unique waybill numbers and the price matrix.
Financial Reconciliation & Discrepancy Resolution
Compare registration lists with fulfillment monitoring files to identify variances.
- Review waybill numbers and cross-check with fulfillment data.
- Conduct regular reconciliation of financial records to ensure accuracy.
Coordinate with the operations and program teams to ensure seamless financial workflows.
Financial Systems & Tools Management
Utilize Xero or other accounting software for billing, invoicing, and financial tracking.
- Perform financial analysis using Microsoft Excel.
Assist in maintaining and improving administrative systems to support financial processes.
Cross-Department Collaboration
Work closely with the Fulfillment Team to track transactions and ensure accurate billing.
- Collaborate with the Finance Manager and team to optimize financial workflows.
- Ensure smooth coordination with operations and customer support to resolve any billing-related issues.
Qualifications
- Bachelor's degree in Finance, Accounting, Business Administration, or related field.
- Proven background in billing, finance, or accounting roles, preferably in a product fulfillment environment is a plus.
- Experience with financial management software (preferably in Xero), and advanced Microsoft Excel.
- Strong proficiency in financial modeling, budgeting and forecasting.
- Understanding of financial compliance, audits, and tax regulations.
- Excellent analytical and problem-solving skills with keen attention to detail.
- Good communication and interpersonal skills.
Job Types: Full-time, Permanent
