THE MISSION

To execute seamless day-to-day financial operations, ensure airtight reporting and compliance, and support club management through sharp administrative execution. This role is about protecting the numbers, enforcing process integrity, and enabling frontline teams to perform without friction.

FINANCE RESPONSIBILITIES

  1. Payroll Management

  2. Process payrolls with zero delay, zero error.

  3. Ensure accurate application of statutory deductions (SSS, PhilHealth, Pag-IBIG).
  4. Own the process, from timekeeping checks to final disbursement.

  5. Petty Cash Handling

  6. Maintain and monitor petty cash with full documentation and timely liquidation.

  7. Zero tolerance for untracked spend.

  8. Fund Requests & Reimbursements

  9. Prepare and submit timely requests with full supporting documents.

  10. Track disbursement flow and follow up with urgency.

  11. Expense Monitoring & Reconciliation

  12. Ensure accurate coding, clean audit trails, and monthly reconciliation with the Finance Manager & Compliance & Audit Manager.

  13. Maintain daily and weekly financial hygiene, no gaps, no loose ends.

  14. Sales Reporting

  15. Reconcile POS, bank deposits, and cash logs daily.

  16. Report with clarity and zero variance vs. actual.

ADMINISTRATIVE OPERATIONS

  1. Procurement, Purchasing & Inventory

  2. Own the full procurement cycle from sourcing vendors, securing quotations, negotiating terms, and placing orders to ensuring timely delivery and inventory accuracy.

  3. Maintain an updated vendor database with performance ratings and price benchmarks.
  4. Track supply levels to avoid downtime or overstocking; your precision keeps the club running lean and smooth.

  5. Document Control

  6. File, label, and organize receipts, invoices, and compliance documents for rapid retrieval and audit readiness.

  7. Compliance & SOP Adherence

  8. Ensure all back-office practices meet internal protocols and government regulations.

  9. No shortcuts. No missed deadlines.

  10. Club Support

  11. Assist Club Manager with reporting, scheduling, logistics coordination, and any task that keeps the club running like a machine.
