Role Overview

We are looking for a highly organized, detail-oriented Marketing Coordinator to support our dynamic Marketing team. This role is crucial in ensuring smooth marketing operations by handling data reporting, event tracking, communication, and various administrative tasks. The ideal candidate thrives in a fast-paced environment, manages multiple priorities with ease, and collaborates effectively across teams to drive marketing success.

Key Responsibilities:

Data Reporting & Analysis

  • Extract, update, and maintain daily reports on event registrants, attendees, and sales using systems such as Salesforce, WebinarFuel, and others.
  • Generate and manage reports on sales performance by supplier, event metrics, and lead tracking.
  • Perform thorough data validation to ensure accuracy and consistency across multiple platforms.

Event Support & Coordination

  • Track event attendance, sales, and key performance indicators to measure success.
  • Maintain up-to-date event data across various reports and databases.
  • Coordinate event-related communications, including preparing registrant lists and sending invitations or reminders via WhatsApp and email.

Communication & Administrative Support

  • Manage contact information updates, scheduling, and timely follow-ups with event leads.
  • Assist in preparing internal and external marketing communications aligned with campaign goals.

Data Management & Maintenance

  • Regularly monitor and clean marketing databases to ensure data integrity, including merging duplicates and updating contact details.
  • Implement best practices for data hygiene to support marketing and sales initiatives.

Special Projects & Ad-Hoc Tasks

  • Support diverse marketing initiatives such as report generation, system enhancements, and special data requests.
  • Assist with additional operational duties, including scheduling broadcasts and managing website waitlists.

Collaboration & Cross-Functional Support

  • Partner with sales, client services, and other internal teams to ensure alignment with marketing objectives.
  • Facilitate smooth communication and workflow across departments to enhance marketing effectiveness.

Qualifications & Skills:

  • Bachelor's degree in Marketing, Business, Communications, or a related field.
  • Minimum of 3 years' experience providing administrative support within marketing or related functions.
  • Must have strong hands-on experience and knowledge of CRM and marketing platforms such as Salesforce, Zoom, WebinarFuel, GoToWebinar, GHL, TXTLocal, Trengo, Clicksend, Meta, NapoleonCat, and Vimeo.
  • Availability to work on weekends and Philippine holidays as needed.
  • Exceptional organizational skills and ability to multitask effectively.
  • Strong attention to detail with a commitment to data accuracy.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent written and verbal English communication skills for report writing and correspondence.
  • Ability to work independently and collaboratively within a team environment.
  • Hands-on experience in event coordination and database management.
  • Knowledgeable about marketing tools for tracking and reporting data insights.
  • Flexible and adaptable to shifting priorities and urgent requests.
  • Willingness to work Global (either UK or AUS) business hours for seamless cross-border collaboration.
