Ortigas Metro Manila, Philippines Teamstaff Inc. Full time ₱40,000 - ₱80,000 per year

Primary Role Purpose

  • To provide highly effective, efficient recruitment, onboarding and mobilisation support in line with and client/site processes for new employees to the Caledonia Group. Whilst each R&M Coordinator will have their own dedicated clients/sites typically within one state, you will be required to provide inter-divisional/interstate support during peak periods.

Key Accountabilities

  • Ensure employees are onboarded and mobilised to site in line with Client's onboarding process and the relevant client/sites processes including updating the Teams mobilisation spreadsheet, forms/paperwork are completed, tickets/licenses are provided, client contacts are communicated with, flights and accommodation are organised (where relevant) and portals are updated.
  • Ensure high levels of vigilance at all times when onboarding employees to ensure all steps and processes are closely followed for not only Client's onboarding processes but the relevant client/sites (which will all be different).
  • Work closely with your State Manager and relevant Supervisor(s) to help organise, plan and prepare for upcoming works (local/metro, maintenance, shutdowns and adhoc project works) including updating rosters and manning sheets as required.
  • Proactively manage and update candidates (Talent Pipeline) in FastTrack to ensure candidate details are accurate and update at all times.
  • Demonstrate proficiency in utilising FastTrack system for candidate management and pipeline updates.
  • Proactively and accurately ensure all Job Orders are entered into FastTrack, candidates and employees are moved through the Job Referral stages and Job Orders are filled/cancelled in a timely manner.
  • Onboard new employees through Onboarded, New Employee Onboarding Register and relevant client portals as appropriate.
  • End-to-end recruitment process including writing ads, screening candidates, conducting phone screening, organising interviews, conducting reference checks and booking medicals.
  • Coordinate letters of offer and provide pay and site terms and conditions to employees.
  • Confirm status of working rights and conduct VEVO checks where relevant.
  • Possess working knowledge of Australian work rights and VEVO system for verification processes.
  • Verify and ensure new and existing employees complete the relevant site inductions and hold the required tickets/licenses.
  • Act as a primary point of contact for clients and develop positive working relationships with both internal and external stakeholders.
  • Ticket/License management: Closely review employee tickets/licenses as they come through Onboarded to ensure they are up-t0-date and relevant for position/site. On Occasion, assist with ticket expiry management as required and escalate any non-compliance issues with relevant State Manager.
  • Ensure no employee commences without full compliance to Caledonia's onboarding processes (i.e. all employees have a signed LOO, have completed their onboarding and induction modules, have passed a minimum of a drug & alcohol screen etc).
  • Ensure employee files on the k: drive are updated as appropriate including candidate records in FastTrack.
  • Assisting with general enquiries with staff (payroll, terms and conditions of employment, site details, PPE, drafting letters etc).
  • Provide general human resources administration support to the Human Resources Manager as required.
  • Distribute PPE as required.
  • Assist with booking flights and accommodation for employees as required.
  • General administration as required (i.e. assist with answering phonecalls, greeting visitors, generating purchase orders etc).

Qualifications

  • Graduate of BS Psychology, BSBA or other related courses.
  • Previous experience in a recruitment and mobilisation or Human Resources administration role at least 3 years and above.
  • Experience as a Recruitment & Mobilisation Coordinator handling Australian clients is required.
  • Demonstrated experience handling Australian construction and mining clients in a recruitment and mobilisation capacity.
  • Previous experience in construction, mining or resources (highly desirable).
  • Ability to foster and maintain positive relationships with both internal and external stakeholders.
  • Exceptional attention to detail, Proactive, Initiative, Effective team player, flexible and adaptable.

  • Excellent communication skills and strong customer orientation.

  • Can work onsite for 3 months and hybrid afterwards at least 2x a week WFH.
