Overview

We are seeking a highly organized and detail-oriented Virtual Real Estate Administrative Support to manage real estate transactions from contract to closing. This role supports agents, brokers, and clients by ensuring all documents, timelines, and compliance requirements are completed accurately and on time. The ideal candidate has strong real estate administrative experience, excellent communication skills, and a deep understanding of transaction workflows.

Key Responsibilities

Transaction Management

  • Coordinate real estate transactions from executed contract through closing.
  • Review contracts to ensure accuracy, completeness, and compliance.
  • Track critical dates and deadlines (inspection, financing, appraisal, closing).
  • Ensure all required documents are signed, submitted, and properly stored.

Documentation & Compliance

  • Prepare, organize, and manage transaction files in compliance with brokerage and state requirements.
  • Upload and maintain documents in transaction management systems (e.g., Dotloop, Skyslope, Brokermint).
  • Coordinate with escrow, title companies, lenders, inspectors, and attorneys.
  • Ensure files are audit-ready and meet MLS and brokerage compliance standards.

Client & Stakeholder Communication

  • Serve as a primary point of contact for buyers, sellers, agents, lenders, and escrow officers.
  • Provide regular transaction updates to all parties.
  • Schedule inspections, appraisals, and closing appointments.
  • Respond promptly and professionally to emails, calls, and messages.

Administrative Support

  • Assist agents with MLS listings, status updates, and document uploads.
  • Manage email correspondence and follow-ups.
  • Maintain accurate records, checklists, and workflows.
  • Support post-closing tasks and file archiving.

Required Qualifications

  • Must have experience in US Real Estate.
  • Proven experience as a Real Estate Transaction Coordinator, Real Estate Assistant, or similar role.
  • Experience in preparing and creating Comparative Market Analysis.
  • Strong understanding of the real estate transaction lifecycle (contract to close).
  • Experience working with MLS platforms and transaction management systems.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple transactions simultaneously.
  • Reliable internet connection and ability to work remotely.

Job Types: Full-time, Part-time

Pay: Php Php350.00 per hour

Expected hours: 20 – 40 per week
