We are seeking a highly meticulous and efficient Service Encoder to join our service department, often found in automotive, machinery, or equipment service centers. This critical data entry role is responsible for the accurate and timely digital transcription and processing of service documentation to ensure correct invoicing, warranty claims, and historical record-keeping. The Service Encoder primarily converts service information—captured by technicians or service advisors—from paper or electronic work orders into the designated Dealer Management System (DMS) or ERP system. This includes ensuring that labor hours, parts used, repair codes, customer details, and warranty information are correctly categorized and input.

Requirements:

  • Bachelor's degree in Business Administration, Office Administration, or Any Related Field.
  • Minimum of one (1) year work experience.
  • Accurately and efficiently encode all service work orders, ensuring proper labor times (flag hours), parts numbers, repair descriptions, and customer complaints are transcribed into the DMS.
  • Apply correct Standard Repair Operation (SRO) codes, Failure Codes, and Warranty Campaign codes as dictated by manufacturer guidelines to ensure compliance and maximize successful claim submissions.
  • Review and cross-reference technician notes, parts receipts, and advisor write-ups to verify the completeness and consistency of information before final encoding and submission for billing.
  • Prepare and process documentation necessary for warranty claims, ensuring all required fields are populated correctly to minimize claim rejection and speed up reimbursement cycles.
  • Maintain a high level of data integrity within the service system by correcting encoding errors and assisting with system maintenance and filing of physical service documents.

Key Responsibilities:

  • Receive service evaluation from the coordinator and encode evaluation details to the SAP
  • Saves and inputs quotation references to the service portal
  • Coordinates updates and concerns to the coordinator regarding the parts
  • Forward part details for updates to be input in SAP
  • Assist assigned coordinator and encoder in finding invoice related concerns
  • Create monthly sales report for the aftersales and coordinates with the invoicing in charge regarding the forwarded reports
  • Act as a backup to other AR Staff
  • Generate incident reports for any discrepancies and/or non-conformances that may occur during work processes.
  • Perform other tasks that may be assigned by the immediate supervisor
