Position Title: Internal Affairs & HR/Admin Officer

Reports To: Chief Executive Officer (CEO)

Department: Administration / Human Resources

Employment Type: Full-time

Position Summary

The Internal Affairs & HR/Admin Officer will serve as the CEO's trusted aide in ensuring compliance, discipline, and smooth operations across all departments. This role combines administrative, HR, and internal affairs responsibilities to maintain order, efficiency, and alignment with company goals. The ideal candidate is proactive, highly organized, and capable of handling sensitive information with the highest level of confidentiality.

Key Responsibilities

Internal Affairs & Administrative Support
  • Oversee internal reports, memos, evaluations, and operational records with confidentiality.
  • Act as the CEO's close assistant in monitoring compliance, employee discipline, and organizational development.
  • Provide administrative support and coordinate concerns across departments before escalation to the executive level.
  • Conduct regular office rounds to ensure tasks are properly updated, tracked, and executed.
  • Guide and remind staff of proper conduct, teamwork, and company values.
  • Assist in client coordination and submit closing reports directly to the CEO.
HR & Employee Management
  • Monitor staff attendance, punctuality, leaves, and overall work discipline.
  • Implement company rules and ensure policies are consistently followed.
  • Support HR processes such as payroll finalization, government-mandated benefits, and employee records management.
  • Schedule and assist in recruitment activities, including job interviews, onboarding, and training sessions.
  • Maintain accurate documentation of all employees, contracts, and HR files.
  • Ensure timely reminders and compliance for employee benefits and company obligations.
Project & Operations Coordination
  • Monitor all ongoing projects, ensuring deadlines and deliverables are met.
  • Manage work schedules across departments to avoid conflicts and delays.
  • Assist the CEO in aligning project timelines, staff performance, and operational efficiency.
  • Facilitate smooth communication between departments and provide regular project status updates to the CEO.

Qualifications

  • Bachelor's degree in Human Resources, Business Administration, or related field.
  • At least 2–3 years of experience in HR, administration, or internal affairs roles.
  • Strong knowledge of HR processes, labor laws, and company compliance.
  • Excellent organizational, communication, and leadership skills.
  • Ability to handle confidential matters with discretion and integrity.
  • Proactive, reliable, and detail-oriented with strong problem-solving abilities.

Work Schedule & Location

  • Full-time, on-site role (Monday to Saturday, office-based).
  • Flexible work arrangements may be discussed based on operational needs.

Compensation & Benefits

Proposed Starting Salary: ₱18,000–₱22,000/month (subject to annual review)

Note: Salary is structured for non-taxable threshold where applicable and based on current startup capacity.
