Job Summary
This position is responsible for overseeing end-to-end supply chain activities, ensuring operational excellence and alignment with business objectives. It includes direct responsibility for the Customer Service team, promoting seamless communication and customer satisfaction. The role requires expertise in demand planning to accurately forecast and allocate resources, inventory replenishment to maintain optimal stock levels, and managing third-party logistics (3PL) providers for warehousing, distribution, and customs brokerage. The Supply Chain Manager will collaborate closely with cross-functional teams, drive process improvements, and implement strategies to enhance efficiency, cost-effectiveness, and service levels across the supply chain.
Job Responsibilities and Accountabilities
Demand Forecasting
- Develop and implement forecasting processes in collaboration with Sales and Marketing, using historical data, market trends, and other relevant inputs.
- Analyze sales data, market trends, and customer behavior to refine demand forecasts.
- Conduct monthly forecast reviews with the Sales team at the customer level.
- Monitor forecast accuracy and bias monthly.
- Lead the implementation of the S&OP Demand Review process.
Production Coordination
- Coordinate closely with production teams to ensure a smooth flow of materials for manufacturing.
- Align production schedules with suppliers to meet forecasted demand.
- Ensure all necessary licenses and registrations for new products are secured before customer orders are placed.
Supply Planning
- Collaborate with Sales, Marketing, and Production to optimize inventory levels in line with demand forecasts.
- Implement inventory control measures to avoid shortages or excess stock.
- Monitor inventory levels to support business goals.
- Manage perishable and obsolete inventory, keeping it below 5% of total stock.
- Work with Sales and Marketing to reduce slow-moving and non-moving inventory.
- Provide monthly replenishment forecasts to the regional supply planning team.
- Track shipment status to ensure timely and accurate delivery.
- Review shipping documents (invoices, import taxes) for accuracy before submission to customs brokers.
Warehouse and Distribution
- Optimize warehouse and distribution costs to stay within budget.
- Monitor warehouse waste and disposal plans.
- Maintain accurate inventory through regular cycle counts with 3PL providers.
- Build and maintain strong relationships with 3PL partners.
- Communicate regularly with 3PLs to ensure alignment with company standards.
- Establish KPIs to monitor 3PL performance.
- Collaborate on distribution strategy development and execution.
- Oversee warehouse and distribution operations to ensure timely product delivery.
- Resolve logistics issues such as delays or disruptions.
- Optimize transportation and distribution networks for cost efficiency.
- Ensure 3PL compliance with company code of conduct, quality standards, and local regulations.
- Conduct monthly performance reviews and periodic audits of logistics processes.
Customer Service
- Lead and motivate the Customer Service team, providing coaching, training, and performance feedback.
- Resolve operational disputes related to service and quality.
- Collaborate with cross-functional teams to improve customer experience.
- Oversee customer service operations, including:
- Sales order entry into SAP
- Delivery order creation for warehouse dispatch
- Coordination with logistics couriers for timely deliveries
- Generate weekly sales tracking reports comparing orders received against targets and credit limits.
Relationship Building
- Maintain strong relationships with internal stakeholders.
- Provide excellent support to customers and distributors.
- Liaise with business partners and government authorities.
- Build and maintain vendor relationships.
Qualifications and Experience
- Bachelor's degree in Business, Supply Chain Management, Logistics, or related field.
- Minimum of 8 years of experience in operations or supply chain, including order management, 3PL coordination, and inventory control.
- Experience in the lubricants industry is preferred.
- Proficiency in ERP systems (SAP SD and MM modules) and MS Office (Excel, PowerPoint, Word).
- Fluent in English, written and spoken.
