Supply Chain Specialist

Position Overview:
The Supply Chain support team member will support our logistics, procurement, and inventory management processes. This role will be responsible for tracking shipments, managing purchase orders (POs), communicating with vendors, and ensuring smooth supply chain operations. The ideal candidate is proactive, an excellent communicator, and experienced in e-commerce or supply chain coordination. Additionally, the Supply Chain support team member will support account managers by following up on projects with internal team members and ensuring timelines are met using the project management tool, ClickUp.
Key Responsibilities:
- Purchase Order Management & Vendor Coordination
a. Place purchase orders (POs) and ensure timely processing.
b. Communicate with vendors to confirm order status, lead times, and resolve any order issues.
c. Maintain accuracy in PO processing, updates, and documentation.
d. Reconcile completed POs to verify accuracy and completeness.
e. Manage open work orders and ensure reconciliation with internal records. - Shipping & Inventory Management
a. Track and follow up on all shipments to ensure timely deliveries.
b. Monitor and oversee receipts at G2 (warehouse) and Amazon, ensuring stock is received and updated in systems.
c. Address and resolve any shipping or receiving discrepancies with logistics providers.
d. Setting up shipments in the AMZ account (shipments from vendor to AMZ)
e. Ensure Shipments are picked up on time - Kitting Jobs at Growve Fulfillment Center (FC)
a. Coordinate and oversee kit job processing at G2, ensuring all packaging and bundling tasks are completed efficiently.
b. Communicate with warehouse teams to track job progress and resolve any issues.
c. Ensure final completion and accuracy of kit jobs. - Project and Task Management
a. Manage day-to-day operations by organizing tasks in ClickUp and ensuring timely completion of all assigned projects.
b. Collaborate with cross-functional teams to ensure smooth execution of campaigns, product launches, and other brand-related activities. - Platform and Tool Integration
a. Ensure that all tools and platforms utilized for brand management and operations are company-approved and fully integrated with existing systems to enhance efficiency and accuracy.
b. Maintain and optimize the use of platforms such as PowerBI (dashboard tracking), SharePoint, Microsoft Office Tools (mandatory), ClickUp, and LastPass.
c. Proactively ensure access to the appropriate folders, spaces, and tools, maintaining accurate organization and functionality.
d. Regularly review and recommend updates to technology to maintain compatibility and streamline workflows.
Required Qualifications & Skills
- Experience in supply chain management, logistics, or e-commerce operations.
- Strong organizational skills with high attention to detail.
- Active approach: People with a strong sense of urgency actively manage their time to efficiently complete tasks.
- Ability to track multiple shipments and orders simultaneously.
- Proficiency in communication with vendors, warehouses, and internal teams.
- Experience with PO processing, reconciliation, and vendor management.
- Comfortable working with spreadsheets, inventory systems, and order management platforms.
- Problem-solving mindset with the ability to proactively follow up on issues.
- Amenable for a permanent hybrid set-up
- Amenable for a night shift schedule
Preferred Qualifications
- Experience with Amazon Seller Central and warehouse management systems.
- Familiarity with supply chain processes in e-commerce and fulfillment centers.
- Prior work experience with virtual assistant roles in logistics or procurement.
