The primary purpose of your role
The primary purpose of the Accounts Assistant role is to provide support to the finance and accounting team in maintaining accurate financial records, processing transactions, and assisting with general accounting and administrative duties. The role is designed to help ensure the smooth operation of the accounting function while developing the incumbent's skills and knowledge in accounting principles and office systems.
KEY RESPONSIBILITIES
Accounts Payable (AP)
Process supplier invoices and credit notes
Match purchase orders with invoices
Prepare payment runs (EFT, BPAY, cheque)
Reconcile supplier statements
Respond to vendor queries and discrepancies
Accounts Receivable (AR)
Generate client fee and disbursement invoices
Monitor debtor accounts and follow up outstanding payments
Allocate and record incoming payments correctly
Assist with credit control and issuing statements
Client disbursements
Enter client disbursements in IPS
Reconcile monthly disbursements between IPS and XERO
Bank and General Ledger Reconciliations
Perform daily and monthly bank reconciliations for allocated bank accounts
Assist in reconciling balance sheet and control accounts
Payroll Support
Timesheet and productivity reporting
Follow up regarding outstanding timesheets
Enter timesheets and leave records as required
Generate productivity and other reports as required from time to time
Financial Reporting Support
Assist with month-end and year-end processes
Trust account
Assist with recording, maintenance, and reconciliation of trust account records
Administrative & Compliance Tasks
Filing and archiving financial documents
Maintain supplier and customer databases
Handle internal queries from staff or management
Software & Systems
Accurately enter and update records in accounting software (e.g., XERO, IPS)
Data entry in IPS to maintain client records and system integrity
Use Excel to prepare reconciliations and reports
Learn and follow company finance procedures
Educational Requirements
Desirable:
- Bachelor of Science in Accountancy
Level of Experience
Desirable:
- Experience in a similar role, preferably with a professional services employer
- Proficiency in MS Office environment
- Excellent telephone and customer services skills
- Experience in using or navigating accounting software (e.g. Xero, MYOB or similar)
