JOB SUMMARY

The Assistant Business Support Center Lead is a pivotal support role to the Business Support Center Lead, assisting in the management and execution of sales operations, strategies, and daily administrative functions. This position is responsible for overseeing specific operational tasks, monitoring performance metrics, supervising staff in the lead's absence, and ensuring the smooth flow of communication and processes within the business support center. The role is designed to develop a deep understanding of all center activities and prepare the incumbent for a future leadership position.

MAJOR DUTIES AND RESPONSIBILITIES

Operational & Sales Support:

  • Assists the Lead in managing daily sales operations activities, including tracking total sales, new accounts, and individual sales performance.
  • Supports the implementation of sales processes, including order management, quotations, and sales automation tools.
  • Monitors outlet stock levels and participates in ad hoc audit activities as directed.
  • Prepares preliminary sales performance reports and data analysis for the Lead's review, highlighting trends and areas for improvement.
  • Helps ensure the achievement of sales and profitability targets by assisting in inventory management, cost control monitoring, and equipment checks.

Administrative & Reporting:

6. Ensures all daily reports, collectibles, and sales deposits from company-owned outlets are accurately compiled and submitted on time.

7. Maintains and organizes records, documents, and the archive system to facilitate easy retrieval of information.

8. Monitors the expiration of various contracts (outlet, manpower, employment) and alerts the Lead for timely renewal.

9. Assists in the preparation of financial aspects for promotions, including budget tracking and expenditure reports.

10. Acts as a primary point of contact for internal inquiries, suggestions, or complaints, escalating complex issues to the Lead as necessary.

Team Supervision & Development:

11. Supervises and provides guidance to Business Support Center staff in the absence of the Lead.

12. Assists in the training of new and existing staff on standard operating procedures, systems, and company policies.

13. Supports the Lead in evaluating employee work performance by providing observational feedback and data.

14. May participate in the initial interviewing process for rank-and-file employees.

Compliance & Policy Implementation:

15. Assists the audit committee in ensuring compliance with standard operating procedures is followed and observed.

16. Helps check and ensure that all government-mandated contributions are updated based on agency records.

17. Supports the strict implementation of national satellite operations policies and procedures.

Strategic Support:

18. Participates in weekly meetings to stay informed of new plans and strategies and assists in communicating these to the team.

19. Contributes to the planning of shipment activities and trucking schedules to ensure on-time product delivery.

20. Conducts preliminary market research and feasibility studies to support the Lead in expansion programs.

21. Performs other related tasks as assigned by the Business Support Center Lead.

JOB SPECIFICATIONS

  • A graduate of Business Management, Business Administration, Marketing, or any related field.
  • Preferably with at least two to three (2-3) years of experience in a supervisory or senior-level support role within sales operations, preferably in the food industry or a similar fast-paced environment.
  • Proficient in basic computer programs (Word, Excel, PowerPoint) and comfortable with sales automation software and email systems.
  • Strong analytical skills with the ability to interpret data and generate reports.
  • Excellent written and verbal communication skills.
  • Highly organized, meticulous, and has a strong eye for detail.
  • Self-motivated, hardworking, and able to work effectively with minimal supervision.
  • Possesses positive personal values and a strong work ethic.
  • Able to enforce company rules, regulations, and policies fairly and consistently.
  • Demonstrates potential for leadership and a willingness to learn all aspects of the business.
