Job Overview

We are seeking a highly organized and proactive Business Assistant​ to manage customer communications, scheduling, and administrative support. This role is perfect for someone who thrives on multitasking, problem-solving, and keeping both clients and internal teams running efficiently.

Requirements

Key Responsibilities

  • Serve as the first point of contact for customer inquiries via phone, email, and live chat.
  • Liaise with wholesalers, retailers, and suppliers to manage orders, deliveries, and technical questions.
  • Handle customer queries, complaints, and requests with professionalism, escalating issues when needed.
  • Manage shared inbox communications to ensure timely and accurate responses.
  • Schedule and coordinate installation and service jobs, keeping calendars booked 2 weeks in advance.
  • Prepare accurate estimates, proposals, and pricing sheets.
  • Use solar design software (Pylon) and CRM tools for system design, quoting, and scheduling.
  • Maintain accurate digital records, files, and job histories.
  • Assist with process improvements and demonstrate proactive ownership of the role.

Qualifications

  • Proven experience in customer service, administration, or operations coordination.
  • Strong communication and problem-solving skills with a professional phone and email manner.
  • Highly organized with the ability to manage multiple priorities effectively.
  • Familiarity with CRM, scheduling, or design software (experience with Pylon highly regarded).
  • Strong attention to detail and accuracy in quotes, records, and scheduling.
  • Proactive mindset with the ability to take ownership of responsibilities.
