Document Controller Custodian

Key Responsibilities:

  • Storage, manage, and track QMS-registered documents and important company records.
  • Scan, organize, and maintain documents following QMS standards.
  • Create templates for new documents, forms, and reports.
  • Maintain and update the master list of QMS documents, forms, and references.
  • Archive inactive records according to the retention and schedule.
  • Ensure all shared or released documents are updated and properly controlled.
  • Handle requests for documents or information and maintain a monitoring log.
  • Train employees on QMS document and records management policies.
  • Disseminate new or updated company policies or implementation.
  • Support business units and departments in document control activities within the NAS system.
  • Assist in the preparation and conduct of Internal Quality Audits (IQA).
  • Review NAS files based on the Files Access Matrix.
  • Perform administrative task and monitor department supplies.
  • Submits weekly and monthly DCC activity and project reports.
  • Adhere to company policies and the code of discipline.
  • Performs other related tasks assigned by the QSS or President.

Qualifications:

  • Preferably Graduate of Industrial Engineering/Operations Management/Information Management.
  • Fresh graduates are encouraged to apply.
  • Professionals with experience in records management or documents control are also encouraged to apply.
  • Detail-oriented
  • Good communication skills (both oral and written).
  • Familiarity with MS and G-suite tools.
  • Knowledge in ISO 9001:2015 & GMP is a plus.
