Functional Scope:

  • Stores, manages and tracks QMS registered documents, references, and other company important files and records
  • Scans, organizes and maintains documents and records according to QMS standard policies and procedures and innovations applied
  • Creates templates for new documents, forms or reports
  • Maintains updated master list of QMS registered documents, forms and external references
  • Archives inactive records in accordance with the records retention schedule
  • Assists with file migrations and ensures that documents shared or released are always updated
  • Controls the process for the retrieval of documents within the organization.
  • Receives and processes requests of documents or information from employees and other concerned parties as approved by QSS and maintains monitoring log sheet
  • Trains or refreshes existing employees and orients new hires on QMS policies and procedures concerning documents and records management which includes documentation, retention, retrieval, and disposal.
  • Ensures the dissemination of information on new, updated, and approved policies for implementation by policy owner.
  • Assists Business Unit (BU) appointed DCCs and Dept. Documentation In-Charge in the performance of their tasks and ensures that specific limits of authority are applied in Network Attached Storage (NAS) System.
  • Assists QSS in preparation and implementation of Internal Quality Audit (IQA) across InEx Group.
  • Conducts IQA and review of NAS based on Files Access Matrix
  • Performs administrative tasks like monitoring and requisition of department supplies and others that may be needed
  • Submits status report on DCC-related activities and projects weekly and monthly.
  • Ensures that all reports should be with the knowledge and approval of the department/business unit head and/or designate.
  • Fully adheres to the company's code of discipline.
  • Performs other tasks that the QSS and/or President may assign from time to time.

Qualifications:

  • Preferably Graduate of Industrial Engineering/Operations Management/Information Management
  • Fresh graduates are encouraged to apply
  • Professionals with experience in records management or documents control are also encouraged to apply
  • Detail-oriented
  • Good communication skills (both oral and written)
  • Familiarity with MS and G-suite tools
  • Knowledge in ISO 9001:2015 & GMP is a plus
