This is a remote position.

Schedule: Monday to Friday, 4 hours per day within 9:00 AM – 5:00 PM PST

Total Weekly Hours: 20 Hours

Our client is looking for a detail-oriented and proactive Client Operations & Lending Support Assistant to help keep client files, lender submissions, and internal operations running smoothly. This role is perfect for someone who thrives on organization, clear communication, and ensuring that no detail is overlooked. You'll play a key role in supporting client documentation, lender coordination, and team reporting, directly contributing to smooth operations and successful deal execution.

Responsibilities

Client File Management

  • Organize and label client documents in shared folders
  • Maintain client checklists and update internal databases with client info, lender preferences, and deadlines
  • Ensure confidentiality and secure handling of sensitive information

Client Communication & Follow-Up

  • Send follow-up emails for missing documents and respond to inquiries using templates
  • Track outstanding items per client and prepare weekly "open items" reports
  • Assist in scheduling client calls across multiple calendars

Lender Submission Support

  • Prepare lender-ready folders and ensure complete loan packages
  • Track submissions, confirmations, and maintain submission logs
  • Research lender terms, eligibility, and market changes

CRM, Reporting & Coordination

  • Update CRM/client tracker with deal stages and call notes
  • Generate weekly pipeline reports and document SOPs
  • Attend internal calls, take notes, and ensure smooth handoffs between teams

Requirements

  • Experience in administrative, operations, or financial services support
  • Strong organizational skills and attention to detail
  • Proficiency with shared drives, CRMs, and calendar/email tools (Google Workspace preferred)
  • Excellent written communication and follow-up skills
  • Ability to manage multiple open tasks independently
  • Professionalism and discretion when handling sensitive information
  • Self-starter comfortable working remotely
