Job description:

The Importation Staff / Purchaser is responsible for sourcing, negotiating, and purchasing goods from international and local suppliers. This role ensures timely and cost-effective procurement, proper documentation for importation, compliance with customs regulations, and smooth coordination between suppliers, logistics providers, and internal departments.

Key Responsibilities

1. Procurement & Sourcing

  • Identify and evaluate potential suppliers (local and international).
  • Negotiate prices, terms, and delivery schedules to ensure cost efficiency.
  • Prepare purchase orders and monitor order status to ensure timely delivery.
  • Maintain strong relationships with vendors and service providers.

2. Importation & Logistics Coordination

  • Handle import documentation, including invoices, packing lists, bills of lading, and certificates of origin.
  • Coordinate with customs brokers, freight forwarders, and shipping lines.
  • Ensure compliance with customs regulations, import permits, and trade laws.
  • Track shipments and manage delivery schedules.

3. Inventory & Cost Management

  • Monitor stock levels and place orders based on inventory requirements.
  • Work closely with the warehouse and inventory team to prevent shortages or overstock.
  • Maintain updated records of purchases, costs, and supplier performance.

4. Compliance & Reporting

  • Ensure all importation activities follow government regulations and company policies.
  • Prepare regular procurement and importation status reports for management.
  • Stay updated on changes in import regulations, tariffs, and market trends.

Qualifications

  • Bachelor's degree in Business Administration, Supply Chain Management, Logistics, or related field.
  • At least 2–3 years of experience in purchasing, procurement, or importation.
  • Knowledge of customs procedures, import/export regulations, and logistics processes.
  • Strong negotiation, communication, and organizational skills.
  • Proficient in MS Office (Excel, Word, Outlook).
  • Attention to detail and ability to work under pressure.
