Job description:
Job Purpose:This job is responsible for the processing of administrative services.
Duties and Responsibilities
1. Contract Monitoring
· Request Draft Contract to Lessor
· Initial Review of Admin
· Prepare Rate Comparative Analysis
· Forward to Legal Team for review
· Coordinate with lessor for concerns & corrections
· Monitoring the approval of Admin division head (Final Revision of Contract)
· Monitor the route to other Contract Signatories
· Monitor the notarization of contract
2. Insurance / CGL
APPLICATION OF NEW CGL
· Send email to PhilFirst for Request of CGL
· Received Policy
· Compute employee and company share
· Prepare Check Request
· Send email computation to HR for salary deduction
· Update monitoring
RENEWAL OF CGL
· Validate unit for renewal
· Prepare Check Request
· Send email computation to HR for salary deduction
· Update monitoring
3. Payment Processing
· Monitor approval of payment requests for utilities and office rental for the PhilLife Branches and others
· Ensure correctness of payment request and billing statement
Motorized Messenger
· Validation of daily parking and gasoline reimbursement
4. Parking Slot
· Process request for new parking slot for officers as requested
· Ensure the requestor provide the folliwing details (ORCR, Plate No., Conduction Sticker, Brand, Color, Car Model)
· Request approval of Admin/HR
· Submit the request of new/change parking slot to the Parking Space
· Monitor the approval
· Wait for activation (24 hours)
· Inform the requestor
5. Validation of DTR
· Checking of Time In and Time Out for Motorized Messenger and Security
6. Reports
· Contract updates (Weekly)
· Insurance updates (Weekly)
· Company vehicle odometer report (Monthly)
· Expenses (Annual)
7. Others
· Cash Advance
· RFID & other expenses
· Performs other tasks that may be assigned from time to time
