Work Setup: Onsite onboarding for two weeks, followed by a transition to a remote setup.
Work Schedule: Night Shift (Following U.S. Time Zone)
Location: Eastwood, Libis, Quezon City
Salary Package: 45,000 to 55,000 PHP/Monthly
Job Description:
The Administrative Assistant will provide comprehensive support to ensure client's leadership team can focus on growth and client service delivery. This role requires strong organizational skills, excellent communication, and the ability to manage both internal operations and customer-facing tasks. The Administrative Assistant will coordinate scheduling, manage client correspondence, support estimates, assist with bookkeeping, and provide social media support to help the business scale effectively.
Key Responsibilities:
Scheduling & Coordination
- Manage executive calendars, client appointments, and internal schedules
- Coordinate service calls and follow-ups to ensure timely client communication
- Track milestones and tasks across active projects and remediation jobs
Client Communication & Support
- Handle inbound calls and follow up with customers professionally
- Support preparation of job estimates and proposals (Xactimate experience preferred)
- Draft client correspondence, service updates, and reports as directed
Administrative & Bookkeeping Support
- Enter and categorize transactions in QuickBooks
- Maintain digital records, job documentation, and client files
- Assist with contract preparation and other administrative tasks
Marketing & Social Media Support
- Manage basic social media posting and content updates
- Provide light website or SEO-related support where applicable (optional skillset)
- Contribute to general operational improvements for a growing startup environment
Other Duties
- Support special projects and ad-hoc tasks as assigned
- Provide after-hours coverage flexibility for urgent client needs
Software / Tools Used
- Xactimate (Preferred, for estimates)
- QuickBooks (Nice to have)
Job Requirements:
- Bachelor's degree in business administration or related field preferred but not required
- 5+ years of administrative or virtual assistant experience, ideally supporting construction, restoration, or professional services
- Proficiency with QuickBooks for basic bookkeeping and transaction categorization
- Familiarity with estimating tools such as Xactimate preferred (or general estimating experience)
- Strong written and verbal communication skills in English
- Experience managing inbound calls, client follow-ups, and scheduling
- Ability to balance multiple tasks, prioritize effectively, and operate independently in a startup environment
- Social media management experience (Facebook, Instagram, LinkedIn) is a plus
