About the Role (Executive Assistant)

You will play a vital role in ensuring the smooth operation of the CEO's schedule, business activities, and select personal tasks. The EA will also support agency operations, HR contracts, documentation updates, and contribute to the success of internal and external events.

YOUR IMPACT STARTS HERE

Diary and Administration

  • Proactively manage the CEO's complex calendar, including scheduling internal and external meetings, across multiple timezones, checking and holding time, ensuring all necessary links, briefs, and materials are ready in advance.
  • Monitor upcoming commitments and deadlines, providing reminders and preparing relevant documents.
  • Screen, prioritise, and where appropriate, respond to communications on behalf of the CEO, where requested.
  • Leverage AI tools (e.g., scheduling assistants, document drafting tools, data summarisation tools) to enhance efficiency and output quality.

Travel Management

  • Coordinate domestic and international travel for the CEO and others on a per needs basis, including flights, accommodation, transfers, conference registrations, visas, and itineraries.
  • Prepare detailed travel packs and ensure 24/7 support as required during travel periods.

Agency and Client Event Support

  • Assist in planning, organising, and executing agency events, supporting client events, if needed, and team activities.
  • Support logistics, registrations, RSVP management, materials preparation, and onsite coordination as needed.

Human Resources Support

  • Prepare and administer HR documentation such as employment contracts, onboarding materials, and confidentiality agreements, working closely with People & Culture.
  • Maintain confidential personnel files and key HR databases.

CEO Personal Support

  • Manage ad hoc personal errands and tasks for the CEO as required.
  • Assist with gift sourcing and preparation for clients, stakeholders, and team members.

Culture and Team Support

  • Manage the team birthday and anniversary program, including sourcing and organizing gifts or celebrations.
  • Support training program and other internal programs such as AI rollout.
  • Coordinate team engagement activities throughout the year.

THE PERFECT MATCH

  • 5+ years' experience in an Executive Assistant, Personal Assistant, or Office Manager role supporting C-suite or senior leaders, in a similar high-trust, fast-paced role
  • Experience working in a fast-paced, dynamic environment (marketing, healthcare space, PR, creative or consultancy sectors preferred)
  • Proficiency in Microsoft Office Suite, Zoom, Teams, and calendar management platforms tech-savvy and eager to learn new platforms if needed.
  • Strong written and verbal communication skills.
  • High level of discretion and confidentiality.
  • Ability to anticipate needs, think ahead, and solve problems independently.
  • Flexibility to adjust working hours as required to support international travel and events
  • Strong attention to detail with an eye for quality and presentation.
  • Calm under pressure with a proactive, can-do attitude.
  • High emotional intelligence, team-oriented manner, and a passion for supporting others' success.
