  • Manage calendars, schedule meetings, appointments, and official engagements for the Acting Assistant Department Head.

  • Conducts telephone calls for the Acting Assistant Department Head (incoming & outgoing)

  • Prepare, organize, and maintain documents, files, and records (physical and digital).

  • Draft, edit, and format letters, reports, and other official communications as instructed by the Acting Assistant Department Head.

  • Handle incoming and outgoing correspondence and route documents for signature.

  • Coordinate directly with internal and external stakeholders for executive instructions and follow-ups.

  • Support the Acting Assistant Department Head in meeting preparations, appointments, documentation, and logistics.

  • Ensure proper workflow of documents within the office for accuracy and timeliness.

  • Recording of office correspondence (incoming & outgoing)

  • Manage confidential and sensitive information with integrity and discretion.

  • Track deadlines, action items, and priorities to support executive decision-making.

  • Performs other duties/functions that may be assigned by the Acting Assistant Department Head.

  • Minimum Qualifications: -Bachelor's degree in Public Administration, Business Administration, Office Administration, Human Resource Management or any Bachelor's degree relevant to administrative, executive, or office support functions.

  • Civil Service Eligibility is an advantage but not required.

  • Strong organizational, communication, and time-management skills.

  • Proficiency in Microsoft Office, Google Workspace, and basic office software.

  • Ability to multitask and work with minimal supervision.

  • High level of professionalism, confidentiality, and integrity.

  • Experience in administrative or executive support roles (preferred but not required).

  • Fluent in english is an advantage
