Job Brief
We are seeking a detail-oriented and reliable Legal Assistant to join our team remotely. You will play a critical role in supporting legal document management, transcription, and cost recording across client matters. Working with industry-standard tools including Smokeball, Foxit PDF, and TurboScribe, you will help ensure our legal administration is accurate, efficient, and compliant.
Responsibilities:
Save and organise emails and attachments from Outlook into Smokeball using defined naming conventions
Use Foxit PDF software to format, combine, and quality-control document attachments
Apply file-naming protocols and store materials in appropriate Smokeball folders based on document type
Record legal costs for incoming and outgoing emails using internal rules based on word count and context
Transcribe voice-recorded phone memos using TurboScribe, saving the text version into Smokeball
Record legal costs for voice memos and associated legal meetings or phone calls
Work in coordination with legal staff to maintain document and billing consistency across files
Optional Additional Responsibilities (based on experience/performance):
Draft simple correspondence to third parties for document/information requests
Follow up on unanswered communications professionally and promptly
Assist in preparing combined, paginated PDF briefs with tables of contents for expert witnesses and barristers
Requirements:
Previous administrative or legal support experience preferred
Strong written and spoken English communication skills
Excellent attention to detail and organisational skills
Comfortable using cloud-based systems and file management protocols
Willingness to work Brisbane business hours during training
Ability to follow structured naming conventions and administrative processes precisely
Desirable:
Prior experience using legal software such as Smokeball or similar
Background in law, paralegal work, or legal transcription
Familiarity with legal billing or cost recording methods
Ability to learn and apply internal policies around legal document handling
Software Proficiency:
Smokeball – Document and case management
Foxit PDF Editor – PDF editing and compilation
Microsoft Office Suite – Particularly Outlook and Word
TurboScribe – Voice transcription
Optional: Familiarity with legal software platforms or CRMs
Education:
- Not required - Diploma or Certificate in Legal Administration, Business Administration, or equivalent experience
Personal Attributes:
Highly dependable with a strong sense of confidentiality and discretion
Self-motivated and capable of working independently once trained
Strong analytical skills with the ability to follow structured procedures
Adaptable and open to taking on additional tasks as proficiency grows
Professional and proactive in communication with both clients and colleagues
Easy to get along with.
Time Zone: Australian Business Hours
