Purchasing Officer
Reports To:Purchasing Manager / Operations Manager
Job Summary:The Purchasing Officer is responsible for sourcing, negotiating, and procuring materials, supplies, and services required by the company. The role ensures timely delivery of quality items at the most cost-effective price while maintaining good supplier relationships and compliance with company purchasing policies.
Key Responsibilities:Procurement & Sourcing
Receive and review Purchase Requests from different departments or project sites.
- Source suppliers and obtain price quotations for comparison.
- Negotiate with vendors to secure the best terms, quality, and delivery schedule.
Issue Purchase Orders (PO) upon approval.
Supplier Management
Maintain a database of accredited suppliers and contractors.
- Evaluate supplier performance in terms of quality, cost, reliability, and service.
Build and maintain professional relationships with suppliers for long-term partnerships.
Inventory & Delivery Coordination
Coordinate with warehouse, logistics, or site personnel to ensure timely delivery of purchased items.
- Monitor order status and resolve issues related to shortages, delays, or quality problems.
Ensure purchased goods match specifications and quality standards.
Documentation & Reporting
Ensure completeness and accuracy of purchasing documents (PRs, POs, delivery receipts, invoices).
- Maintain proper filing of procurement records for audit and compliance purposes.
Prepare regular purchasing reports (e.g., purchase status, cost monitoring, supplier performance).
Compliance & Cost Control
Ensure all purchases follow company procurement policies and approval procedures.
- Monitor expenses and recommend cost-saving measures without compromising quality.
- Comply with ethical standards, avoiding conflict of interest in procurement transactions.
Qualifications:
- Bachelor's degree in Business Administration, Supply Chain Management, or related field.
- At least 1–2 years of experience in purchasing or procurement.
- Strong negotiation and communication skills.
- Proficient in MS Office (Word, Excel) and Quickbooks.
- Detail-oriented, organized, and able to work under pressure.
- Knowledge in construction/engineering materials (if applicable to industry) is an advantage.
