POSITION TITLE: Payroll Associate

  • Location: Primarily Work-from-Home (with occasional office/field visits as required)
  • Work Schedule: Output-based but you are expected to attend all required meetings within 8 AM - 5 PM, Monday to Saturday.

ABOUT THE ROLE

The HR Associate supports daily human resources operations by assisting in recruitment, employee relations, documentation, and HR policy implementation. The role ensures smooth coordination between employees and management while maintaining compliance with company policies and labor standards. This role also offers opportunities to collaborate closely with the Payroll Associate, supporting cross-functional Payroll initiatives.

KEY RESPONSIBILITIES

Recruitment & Onboarding

  • Post job ads, screen applications, and conduct initial interviews
  • Coordinate interview schedules with hiring managers
  • Prepare job offers, contracts, and new hire documents
  • Conduct onboarding sessions and prepare 201 files
  • Ensure submission of pre-employment requirements
  • Monitor probationary periods and contract renewal

Employee Records & Document Requests

  • Maintain digital 201 files and ensure completeness
  • Maintain, update the leave balance tracker, record leave approvals, and reconcile accruals.
  • Process document requests (COEs, employment verifications, etc.)
  • Draft internal memos and holiday/announcement notices
  • Assist in keeping employee records up to date in GDrive folders

Employee Relations Support

  • Address basic HR-related concerns and queries
  • Document minor disciplinary actions (e.g. NTE, warnings)
  • Coordinate with department heads for incident investigations
  • Support resolution of workplace issues under HR Consultant guidance

Performance & KPI Tracking

  • Support HR Director in monitoring employee performance metrics and KPIs.
  • Assist in maintaining performance tracking tools or dashboards.
  • Compile and provide reports on team and individual performance trends.
  • Help implement HR initiatives tied to performance improvement.

Offboarding

  • Manage the offboarding checklist for separating employees.
  • Conduct exit interviews and document feedback.
  • Ensure HR records are updated accurately for separated employees.
  • Coordinate with Payroll and other departments to ensure smooth offboarding processes.

Documentation & Compliance

  • Assist in organizing documents for DOLE inspections or audits
  • Track employee lifecycle updates (hires, terminations, resignations)
  • Coordinate with field staff as needed for documentation or updates
  • Update the organizational chart and internal manpower list when required

QUALIFICATIONS

  • Bachelor's degree in psychology, HR Management, or related field
  • At least 1-2 years of experience in general HR work (admin + recruitment)
  • Familiarity with basic local labor law and statutory benefits
  • Comfortable using Google Sheets, Google Drive, and online forms
  • Strong attention to detail and follow-through
  • Clear communication skills (written and verbal)
