Delivery Partner Administrator (Onsite)
Job Description:
Onboarding Process:
- Ensure all onboarding requests are prepared for management approvals.
- Complete all tasks/activities allocated to Delivery Partner Admin Team per the onboarding process in Promapp.
- Issue compliance checks &/or actions sitting with the Delivery Partner Admin team pending completion to release either company &/or Technicians.
Offboarding Process:
- Complete all tasks/activities allocated to Delivery Partner Admin Team per the offboarding process in Promapp.
Documentation, Validation, and Verification:
- Verify and validate the incoming documentation received from Delivery Partners meets the criteria required.
- Save and upload documents into the client systems (ST3, SharePoint, etc.).
- Data entry - update information into the client systems (ST3, LITMOS, etc.).
- Maintain and update Sheets/ Lists related to onboarding, offboarding and compliance.
Certification, Competency & Training Compliance:
- Allocate, assess and review online training and courses issued through the client's Learning Management System (LMS) - LITMOS.
- Monitor Delivery Partner workforce compliance to contractual requirements for certification, competency and training to ensure the Delivery Partner workforce is fully compliant at all times.
- Issue updated registers to external stakeholders. E.g. PTN Register (Chorus & Spark).
- Ensure the certifications completed/provided by Delivery Partner workforce in Litmos is uploaded to SiteTrax in a timely manner.
Chorus & Spark Access:
- Ensure the Delivery Partner workforce actively working on the client's Network & Sites have correct system access. E.g. Techmate, NDR, Chorus Activate.
- Ensure the Delivery Partner workforce actively working on the client's Network & Sites have valid and correct Chorus and Spark Access.
DPRF Management:
- Complete all tasks/activities allocated to Delivery Partner Admin Team per the DPRF (Delivery Partner Request Form) management process in Promapp.
General:
- Work effectively in an agile environment, adapting to shifting priorities, collaborating across functions and all levels of the organisation.
- Manage the Delivery Partner Team phone queue as per phone queue roster.
- Attend and constructively participate in team and company meetings.
- Escalate all appropriate matters to the Host Employee or Host Manager or other appropriate client employee on a timely basis.
- Adhere to relevant client policy or procedures.
- Adhere to relevant company policies and procedures including Human Resources and Health and Safety policies and procedures.
- Perform other reasonable duties as requested by management.
Qualifications:
- Bachelor's degree in Business Administration, or any related field.
- Highly developed customer service, complaint handling or stakeholder management experience.
- Experience as a Delivery Partner Administrator or a similar role is a plus.
- Experience contributing to process improvement is a plus.
- Customer service experience is a plus.
- Intermediate or advanced skills in Microsoft Office Excel, Word, Outlook, Powerpoint, and Sharepoint
- Ability to assess technical qualifications and compliance with visa regulations.
- Proven ability to operate effectively in an agile and fast-paced work environment, engaging confidently with stakeholders across all organisational levels.
- Ability to communicate and engage confidently with team members and various stakeholders inside and outside of the business.
- Demonstrated ability to prioritize work to strict deadlines and manage various conflicting demands to mitigate risk.
- High degree of accuracy, attention to detail and accurate record keeping.
- Demonstrated ability to establish and maintain strong relationships.
- Ability to maintain the confidentiality of information.
- Intermediate or advanced English speaking and writing skills.
