IT & Digital Systems Coordinator (Remote / Phuket-based hybrid possible)

About Us
We are a destination wedding and events company based in Thailand, serving mainly German-speaking and international couples. We plan, design, and execute weddings in paradise — and we run a lot of moving parts behind the scenes: internal systems, websites, social channels, client communication, legal workflows, suppliers, timelines, photos, etc.
To keep all of this smooth, we're looking for one person who "owns the digital side of the business."
This is not a corporate role with 10 layers of approval. This is hands-on. You will touch almost everything.
Your Mission
You are the go-to person for all things tech, systems, web, and digital presentation.
You make sure:
- Our internal tools work.
- Our websites work.
- Our brand looks clean and consistent externally.
- Our team gets support fast.
You are the person everyone trusts when they say, "Can you please fix this?"
Key Responsibilities
1. Microsoft 365 / Internal Systems
- Be first-line support for the team regarding Microsoft 365 (Outlook, SharePoint, Planner, Teams, OneDrive).
- Create and maintain user accounts, access rights, folder structures, and permissions.
- Keep our systems clean, updated, and consistent – naming conventions, templates, task boards, shared calendars, etc.
- Help the team use the system correctly (basic training, answering questions, "Where do I find…?" / "Why can't I open this file?").
- Document processes so the team knows the correct way — and follows it.
2. Websites & Web Maintenance (WordPress)
- Maintain all company websites (mainly WordPress): uptime, updates, plugins, backups, security.
- Publish new content (texts, photos, packages, blog posts, landing pages).
- Build new pages and simple microsites when needed (for example: new offer pages, campaign pages, lead capture pages).
- Make sure pages load fast, look good on mobile, and work technically.
3. Design & Marketing Support
Create visuals for weddings and operations using Canva:
Welcome signs
- Seating plans
- Directional signage
- Small print assets, menu cards, etc.
Create marketing assets:
Simple ads / promo visuals
- Highlight graphics
- Story templates
- Prepare final export files for print and for on-site use.
4. Social Media Support
- Help manage our Instagram and Facebook presence.
- Upload content (photos, reels, carousels, stories) based on our guidelines / materials from events.
- Keep profiles updated, respond professionally to basic inquiries, forward real leads to sales/planning.
- Maintain basic content rhythm and ensure consistent branding.
Who You Are
We're not looking for a corporate IT admin who only resets passwords.
We're not looking for a pure creative designer who doesn't understand systems.
We're looking for the bridge.
You'll do well in this role if you:
- Are comfortable switching between technical work and creative work.
- Get satisfaction from structure, clarity, control — "everything is where it should be."
- Are calm and helpful with colleagues who are stressed and just want it to work.
- Take pride in making things look professional and on-brand.
Requirements (Must-Haves)
- Strong experience with Microsoft 365 administration (SharePoint structure, Teams channels, Planner boards, permissions, etc.).
- Confident with troubleshooting user issues ("I can't access the shared drive," "My Planner tasks disappeared," etc.).
- Solid WordPress skills: themes, plugins, page builders, backups, performance basics, security basics.
- Comfortable using Canva to create clean, branded visuals.
- Organized, dependable, consistent. You follow through.
- Good written English.
- Experience managing Instagram and Facebook business accounts.
- Basic understanding of lead capture / contact forms / WhatsApp integrations.
- Light knowledge of SEO, page speed optimization, Google Analytics.
- Experience with small businesses or agencies (not just big corporate IT).
- German language is a plus, but not required.
What This Job Is Not
- You are not expected to be a full-stack developer.
- You are not a wedding planner.
- You are not expected to shoot or edit professional video.
- You are not expected to copywrite love stories for social media in German.
This is a systems + web + brand support role.
