Job Summary

We are seeking a reliable and detail-oriented AP/AR Specialist to manage accounts payable, assist with accounts receivable, and support the month-end close across two portfolio companies. This is a high-impact role for someone who thrives in structured, process-oriented environments, values precision, and enjoys building lasting systems. Duties and Responsibilities

Accounts Payable:

  • Own day-to-day AP operations for two portfolio companies, including managing shared AP inboxes and ensuring timely entry into
  • Accurately code bills, apply vendor terms, and route for approval based on established workflows.
  • Coordinate with local General Managers (GMs) to obtain approvals and manage payment timing.
  • Maintain and reconcile AP aging reports; proactively resolve vendor issues.
  • Maintain organized digital records of AP activity and supporting documentation in shared systems.

Accounts Receivable:

  • Support cash application and monitor AR aging to escalate past-due accounts as needed.
  • Generate and distribute customer statements; track responses and flag follow-up items.

Month-End Close Support:

  • Assist with recurring journal entries (e.g., payroll accruals, depreciation, prepaids) under direction from the Accounting Lead.
  • Maintain supporting schedules and ensure documentation is complete and properly organized.
  • Update reconciliations or recurring reports.

Administrative and Cross-Functional Support:

  • Document and maintain SOPs for AP/AR and close processes.
  • Perform basic data entry and spreadsheet formatting (e.g., converting PDFs into structured Excel/Google Sheets).
  • Support ad hoc administrative tasks across finance and operations when capacity allows.

Required Skills and Abilities

  • 2+ years of experience in AP/AR or general accounting, preferably across multiple entities or within a portfolio setting.
  • Proven hands-on experience with and QuickBooks; must be able to operate independently with minimal oversight in these systems.
  • Strong attention to detail, consistency, and accuracy in financial entries and reconciliations.
  • Proficiency in Excel or Google Sheets (e.g., lookups, filters, formatting).
  • Strong written English and instruction comprehension.
  • Dependable, organized, and thrives in a structured, process-driven environment.
  • Team-oriented mindset with a willingness to assist on adjacent tasks as needed.
  • Ability to work U.S. hours, with flexibility once independently working in the role depending on client preferences.

Preferred Qualifications

  • Experience supporting multiple entities or working in a portfolio environment.
  • Familiarity with accrual accounting and basic month-end close workflows.
  • Exposure to drafting or maintaining Standard Operating Procedures (SOPs).
  • Background in a fast-paced, collaborative finance or startup environment.
