Main Purpose of the Job:

The primary objective of hiring an IT Asset Management (ITAM) Officer is to guarantee that the organization derives maximum value from its investments while minimizing unnecessary expenditures and legal security risks by: optimizing asset utilization, ensuring compliance, streamlining processes, maintaining data accuracy, supporting strategic decision-making, enhancing collaboration, and promoting continuous improvement.

By accomplishing these goals, it facilitates improved decision-making, cost control, and risk mitigation by providing clear visibility into asset inventory, usage, and spending.

Key Accountabilities:

  • Ensure that all IT assets (both hardware and software) inventories are accurate and up to date by using, but not limited to, Service Now CMDB and Excel files or asset inventory tool.

  • Manage the lifecycle of assets, which includes procurement, deployment, usage, retirement, and disposal.

  • Ensure compliance with software licenses and optimize licensing agreements.

  • Ensure asset management policies, standards, and procedures are implemented and improved.

  • Ensure that vendor relationships and contracts related to IT assets are managed in close collaboration with procurement.

  • Prepare reports on asset utilization, costs, compliance, and lifecycle performance.

  • Provide information on assets to support IT budgeting and forecasting.

  • Lead initiatives that focus on continuously improving asset management practices.

  • Collaborate with procurement, finance, and vendors on purchasing and contract renewals.

  • Ensure that the asset inventory master file is accurate by conducting routine checks, reconciliations, and physical counts.

  • Assist with audits by providing accurate asset reports and documentation.

  • Identify opportunities for cost savings and efficiency enhancements in asset management.

  • Ensure that the stockroom is organized, neat, and systematic.

  • Perform other related duties as assigned

Experience & Qualifications

  • Bachelor's degree in Information Technology, Business Administration, Finance, or a related field.

  • At least three (3) years of relevant experience in IT asset management, procurement, or IT operations.

  • Strong background in IT asset management tools, especially ServiceNow (Silva).

  • Proficient in MS Office, particularly Excel and data analysis.

  • Excellent skills in monitoring, controlling, and ensuring compliance of asset inventories.

  • Attention to detail and accuracy is essential.

  • Strong communication skills for interacting with IT teams, vendors, and internal stakeholders.

  • Ability to work effectively and accurately in a fast-paced environment under pressure and tight deadlines.

  • Familiarity with the ITIL framework and best practices is a plus.

  • Knowledge of insurance and technology services, business, and operating models is an advantage.

  • Willing to work during weekends, extended hours or holidays if needed.

  • Physically fit in managing and organizing the asset storage and stockroom

  • Understanding of internal controls, compliance requirements, and experience in supporting audits.
