The
Data Entry and Administrative Assistant
will be responsible for supporting the BMW logistics team through accurate and timely data entry, freight bill preparation, and load management updates. This role plays a critical part in ensuring operational accuracy by entering all new loads into tracking sheets, updating any changes, and maintaining real-time visibility across the team. Additionally, this position assists with sending rate confirmations and other key documents to drivers and provides general administrative support to ensure the BMW team runs smoothly.

Key Responsibilities{{:}}

  • Load Entry & Sheet Management
  • Accurately input all new BMW loads into internal tracking spreadsheets or TMS platforms
  • Ensure all load details including pickup/drop-off locations, appointment times, and special instructions are complete and correct

Freight Bill Creation

  • Build out freight bills for each load with correct billing information, accessorial charges, and documentation references
  • Coordinate with billing or finance teams as needed to ensure timely and accurate invoice generation

Load Updates & Cancellations

  • Promptly update any changes to scheduled loads (e.g. delays, cancellations, reassignments) on internal sheets and relevant systems
  • Ensure changes are communicated to all affected parties, including drivers and the tendering team

Driver & Communication Support

  • Ensure all communications are clear, timely, and contain the required documentation
  • When available, assist with sending rate confirmations, load tenders, and other key information to drivers
  • Ensure that all PUL numbers are sent to driver in a timely manner (Final drafts only)

Administrative Team Support

  • Provide general administrative support to the BMW team, including organizing files, updating load records, and tracking shipment status.
  • Be a reliable team player, ready to assist with tasks delegated by dispatchers, planners, or management

Work Schedule-
6am-3pm or 7am-4pm Central Time Monday to Friday

Requirements

  • Must have at least 6 months of experience in logistics or data entry
  • Willing to work onsite at Greenhills, San Juan City, Metro Manila
  • Can start ASAP
