Operations Assistant

Schedule: Monday - Friday (9PM - 6AM/10PM - 7AM PHT)

- Tech-savvy- Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and familiar with CRM (database) management, accounting, and reporting software.
- Problem solving-oriented- Able to spot and resolve problems effectively.
What will you do?
- Maintain portfolio management and accounting system
- Set up new accounts in Black Diamond for client team review
- Complete set up upon receiving additional information from client teams
- Enable new data feeds; create portfolios and confirm correct relationships
- Update accounts, cost basis data, allocation targets, etc. as needed
- Confirm alignment of updates between system and trading platform
- Enable new client portal users
- Bulk upload data of manually tracked accounts, data field changes, private investment data, or other items as needed
- Run bi-weekly comparison with private investment databas
- Run regular investment and other reports, including:
- Client portfolio performance and holdings
- Client invoices
- Firm portfolio management activities, e.g., transactions, trading volumes
- Compliance testing information
- Respond to requests and address data issues
- Uphold data integrity within portfolio management and accounting system
- Reconcile data between our system, custodians, and internal records
- Identify and resolve data discrepancies or missing information in a timely manner
- Monitor daily feeds and exception reports to ensure accuracy and completeness
- Implement and maintain quality control checks and documentation procedures
- Collaborate with teams to support consistent, reliable client reporting
- Respond to requests and address data issues
- Assist with private investment data management as needed
- Perform special projects and additional duties as assigned
