To help us do that, we're looking for a highly organized and detail-focused Quality Assurance and Administration professional. - This is a hands-on administration and coordination role, supporting the Quality and Compliance team by keeping documentation, systems, and records clean, current, and compliant. You'll be the engine behind our Quality Management System—making sure files are formatted, registers are updated, audit actions are tracked, and workforce records are in top shape. You won't be leading strategy—but you'll be making sure everything that supports it runs like clockwork.
- Document Control & QMS Admin.
- Format and update QMS documents for publication.
- Maintain version control logs and document registers.
- Ensure consistent file naming and storage across systems.
- Support updates to document control protocols.
- Maintain audit registers and reporting logs.
- Track audit evidence submissions and follow-up actions.
- Assist in preparing documentation for audits.
- Keep the Risk Register up to date.
- Monitor and log governance-related action items.
- Compile reports for leadership based on tracked data.
- Maintain the Continuous Improvement Register.
- Record supporting evidence of completed actions.
- Alert managers to recurring or overdue items.
- Monitor staff, trainer, and assessor credential compliance.
- Run checks on expiring qualifications or missing records.
- Follow up with teams to resolve gaps.
- Maintain accurate records of consultation activities.
- File industry and community engagement notes.
- Support updates to training product documentation.
- Ensure files reflect the latest training standards.
- You're detail-obsessed and methodical in your work.
- You're a natural organizer who enjoys structure and systems.
- You take pride in being the "safe pair of hands" everyone can rely on.
- You communicate clearly, respectfully, and proactively.
- You're great at juggling tasks and meeting deadlines without losing track.
- You enjoy supporting a team by managing the critical (but often unseen) parts of compliance.
- You've spent 3–5 years working in an RTO or education compliance environment.
- You've helped coordinate audits and supported compliance systems.
- You've worked with Quality Management Systems (QMS) or document control processes.
- You've kept registers clean and action items tracked.
- You're confident using Microsoft 365 tools—SharePoint, Teams, Lists, Power BI.
- You hold (or are working toward) a qualification in Business, Compliance, or Training & Assessment (desirable but not essential).
- You do your best work in a team that values trust, clarity, and getting things done.
- You don't need to be micromanaged—you just need the tools, a clear system, and room to do great work.

- Maintain compliance and audit registers with accurate records.
- Track and follow up on evidence submissions and compliance actions.
- Manage workforce capability data (e.g., credentials, training status).
- Prepare reports, logs, and documentation for internal/external review.
- Coordinate stakeholder documentation and meeting records.
- Monitor training product documentation for currency and compliance.
- Documentation Accuracy: Updated, consistent, and compliant QMS files.
- Audit Readiness: Well-maintained records and evidence tracking.
- Task Completion: Timely closure of audit actions and compliance items.
- Data Integrity: Accurate workforce and risk register maintenance.
- Team Feedback: Quality and Compliance Manager satisfaction with your reliability and output.
- This is a Work-from-Home role with a Monday–Friday schedule.
- Standard work hours are 7:00 AM–4:00 PM Manila Time.
- You'll join regular virtual check-ins with your manager and team.
