Job description:

The Project Administrative Coordinator plays a key role in providing direct support to Business Development and SPE. The role is primarily responsible for coordinating with department heads on project schedules, progress updates, and status alignment. The coordinator ensures smooth communication across all stakeholders through administrative support, online and telephone communication, and preparation of project-related reports. The role also acts as a liaison staff in delivering and securing documents from external partners and government offices.

Key Responsibilities:

  • Assist project managers in planning, tracking, and coordinating project activities and deliverables.
  • Maintain and update project documentation, records, schedules, and reports.
  • Prepare meeting agendas, take meeting minutes, and follow up on action items.
  • Coordinate communication between internal teams, clients, and vendors.
  • Organize and maintain digital files and shared resources for project teams.
  • Assist with procurement processes, invoice tracking, and contract administration.
  • Perform other administrative tasks as required to ensure the smooth operation of projects.

Qualifications:

  • Bachelor's degree in Business Administration, Project Management, or a related field.
  • Experience in administrative support, preferably in a project or operations environment.
  • Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Highly organized with the ability to manage multiple priorities and deadlines.
  • Comfortable working independently and collaboratively with diverse teams.
  • Willing to be assigned at No. 9 Palanza Street, corner Silencio Street, Brgy. Santol, Quezon City.
