Project Admin and Coordinator

We are looking for a dedicated Project Coordinator to execute the installation lifecycle from documentation to project handover. This role is the central link between our customers, sales team, and installation contractors.
Key Responsibilities:
High-Volume Phone Coordination: Serve as the primary contact for all operational communications. This involves extensive daily phone interaction with:
- Customers: Managing expectations, securing necessary documentation, confirming payments, and coordinating site access/preparation
- Contractors: Scheduling installation teams, negotiating timelines, and following up on compliance documents.
Logistics & Schedule Management (via Phone): Proactively contact installers and suppliers to confirm stock availability, coordinate deliveries, site installation, and efficiently manage Purchase/Service Orders
Compliance & Administration: Process government rebate submissions (e.g., STCs), handle job invoicing and billing, and persistently follow up (by phone) to ensure all compliance documentation is secured from contractors for project closeout.
Timeline Execution: Maintain accurate, real-time installation and delivery schedules, ensuring project deadlines are met and proactively communicating schedule changes to all necessary parties.
Essential Requirements
- Minimum 2 years in a Project Coordination or Scheduling role, ideally within the solar, construction, or trades industry.
- Proven expertise in high-volume, professional phone-based customer service and logistics.
- Exceptional organizational skills and high attention to detail for compliance and rebate processing.
- Ability to efficiently manage time-bound tasks and coordinate multiple parties simultaneously.
- Proficiency in MS Office (Excel/Outlook).
