This is a remote position.

Virtual Rockstar is hiring a full-time Front Office Coordinator on behalf of our client, a modern and fast-growing dental practice committed to delivering exceptional, personalized patient care. This role will support front office operations, patient communication, scheduling, and administrative tasks that ensure a smooth and welcoming experience for every patient.

Our client's practice features a clean, modern environment and prioritizes individualized care supported by advanced systems and technology. As part of their administrative team, you will play an essential role in helping patients navigate appointments, insurance information, and ongoing communication.

Responsibilities

Patient Communication & Front Desk Support
  • Answer and return missed calls promptly with a friendly and professional tone.

  • Respond to patient messages and appointment requests received through the practice's website CRM.

  • Handle patient inquiries via phone, email, and messaging platforms.

  • Support new patients by managing new patient intake calls and gathering required information.

Scheduling & Appointment Coordination
  • Manage and update the appointment calendar using Oryx software.

  • Confirm, schedule, and reschedule appointments as needed.

  • Coordinate daily schedules and communicate updates with clinical staff.

Insurance & Eligibility Support
  • Enter and update patient insurance history, ensuring accurate tracking of eligibility for X-rays, panoramic images, and other timing-based procedures.

  • Maintain up-to-date insurance documentation within the patient profile.

Billing & Patient Records
  • Enter accurate patient balances into the billing software.

  • Keep patient records up to date as part of administrative workflows.

Tools & Systems
  • Work within Oryx for scheduling, records, and administrative tasks.

  • Use Mango phone system to manage and route patient communication.

  • Communicate with internal team members via email and internal messaging platforms.

Requirements
  • Experience in a dental front office or medical reception role (preferred but not required).

  • Excellent phone etiquette and communication skills.

  • High attention to detail and accuracy in administrative tasks.

  • Comfortable using practice management software (experience with Oryx and Mango preferred).

  • Ability to multitask in a fast-paced environment.

  • Strong organizational skills and a proactive work style.

  • Professionalism, reliability, and commitment to patient confidentiality.
