
Administrative and General Services Specialist

Job Summary: The Administrative and General Services Specialist is responsible for ensuring the seamless daily operations of shared services, with a particular focus on facility management and the timely completion of facility-related projects, all in alignment with departmental policies and procedures. This role also entails supporting the department head in implementing the company's Integrated Management System.
The position involves preparing and analyzing statistical reports generated from computerized systems, identifying any variances or deviations, and promptly reporting these findings to the department head as a basis for process improvements. Additionally, the specialist will monitor the performance indicators (KPIs) of team members and oversee the deliverables of service providers and contractors to ensure consistent quality and efficiency.
Qualifications:
- At least 2-3 years of experience in building/facilities management;
- Prior experience in project management, data management, and shared services are an advantage;
- Preferably with BOSH and customer service training programs;
- Willing to work onsite at Makati City
Required Competencies

Key Responsibilities
- Prepare and interpret statistical reports from computerized systems, flagging variances for process enhancements;
- Monitor team KPIs and oversee deliverables from service providers and contractors;
- Coordinate Occupational Health, Safety & Environment activities, including monthly toolbox meetings and CPAR attendance;
- Maintain and update IMS documentation (legal compliance lists, records matrix, OTP/KPI trackers, GHG accounting);
- Manage renewals of FSIC and business permits, and lead the annual energy conservation program;
- Inspect office premises and equipment; schedule preventive maintenance and track work environment metrics;
- Lead general services projects, develop manpower schedules, and conduct AGS policy orientations;
- Administer internal communications, mail distribution, and announcements;
- Set performance goals for subordinates, conduct reviews, and identify coaching needs;
- Drive digitization efforts: implement system modifications, build QlikSense dashboards, and run customer satisfaction surveys
