Job Description:

Primary Responsibilities

  • Coordinate office activities and operations to ensure efficiency.
  • Liaise with internal teams and external partners.
  • Receive and process orders submitted online via the website or email.
  • Ensure accuracy and completeness of order details.
  • Manage and organize documents, with a focus on handling confidential records.
  • Maintain an efficient filing system for easy retrieval.
  • Establish and manage an organized filing structure
  • Prepare, review, and file various documents, receipts, and vouchers.
  • Ensure proper documentation of financial transactions.
  • Generate invoices accurately and in a timely manner.
  • Verify and vouch for financial transactions.
  • Answer phone calls and respond to messages promptly and professionally.
  • Serve as the first point of contact for inquiries and information.
  • Welcome and assist walk-in customers and visitors courteously.
  • Provide necessary information and support as required.
  • Coordinate with the field team to facilitate and support fieldwork.
  • Ensure effective communication between office and field personnel.
  • Book delivery and shipment services with providers such as Grab, Lalamove, Angkas, and UPS
  • Track and manage the logistics of orders and shipments.
  • Procure office supplies and explore new vendors and agreements

Secondary Responsibilities

  • Provide assistance to fellow staff members in completing their assigned tasks.
  • Assist employer and others.
