Job Purpose:
The HR Assistant – Timekeeping & DOH Compliance is responsible for managing the company's timekeeping system to ensure accurate payroll processing and overseeing compliance with Department of Health (DOH) regulations, particularly for employee licensing, health certifications, and institutional requirements. This role combines administrative precision with regulatory compliance to support both operational efficiency and legal obligations.
Key Responsibilities:
1. Timekeeping Management
- Oversee the daily monitoring and validation of employee attendance, absences, tardiness, and overtime.
- Maintain, update, and troubleshoot biometric or timekeeping systems.
- Generate accurate timekeeping reports and submit them to Payroll within established deadlines.
- Coordinate with supervisors to address and resolve attendance-related discrepancies.
- Ensure adherence to company attendance policies and labor law provisions.
2. DOH Compliance
- Monitor and maintain compliance records for all DOH-mandated requirements.
- Ensure timely renewal of professional licenses, health certificates, and mandatory trainings for healthcare and support staff.
- Prepare and submit DOH-related reports and documentation within required timelines.
- Liaise with DOH representatives and other regulatory agencies for inspections, audits, and compliance updates.
- Assist in the orientation of employees regarding DOH standards and institutional health policies.
3. Records & Documentation
- Maintain accurate and confidential employee files, both physical and digital, particularly related to timekeeping and DOH compliance.
- Track and update compliance checklists and deadlines.
- Assist in internal audits and provide necessary documentation for external inspections.
4. HR Support Functions
- Respond to inquiries regarding attendance, payroll cut-off dates, and DOH requirements.
- Assist in the creation and implementation of compliance policies and procedures.
- Support HR initiatives and participate in projects and events as needed.
