JOB SUMMARY: Responsible for providing assistance to the Operation Assistant, Customs Representative and Operations Manager in ensuring that all incoming and outgoing shipments are properly monitored documented and processed at the fastest and most effective way.

DUTIES AND RESPONSIBILITIES:

  • Receives fax/e-mail messages for pre – alert of inbound/outbound shipments.
  • Answers phone calls from clients inquiring the arrival of their shipments.
  • Assist verification vessels arrival and other shipping details from the Shipping Lines.
  • Assists in preparing of documents required for import/export shipments such as: Bill Lading, Manifest packing list, invoice, etc.
  • Assists Brokerage section in processing import entry at the BOC as maybe required by the immediate superior.
  • Prepares manifest into hardcopy.
  • Notifies the broker/consignee regarding their incoming shipments.
  • Submits manifest for incoming and outgoing shipments and checks from time to time with the service provider and shipping lines for any update.
  • Assists in sending routing order, follow up with the origin and updates client with status at all stages up to shipment arrival and delivery of cargo.
  • Assists follow up with the carrier, forwarding agent and airline for the status of shipment arrival to ensure the shipment is cleared and delivered to client on time.
  • Receives fax/e-mail messages and documents for pre-alert of inbound/outbound shipment.
  • Monitors shipping schedules of shipments and advice concern parties.
  • Assists in submitting manifest for incoming and outgoing shipments and checks from time to time with the service provider and shipping lines for any update.
  • Keep files and records of all email communications (soft and hard copy) to and from overseas agents.
  • Maintains individual folder per shipment in accordance with its reference number.
  • Sees to it that all shipments folder data are complete and properly kept in the filing cabinet.
  • Entertains customer inquiries from time to time.

WORK EXPERIENCE:

  • Must be proficient in Microsoft Office (Word/Excel Presentation)
  • Exposure in Freight Forwarding/Brokerage is advantage.
