Job Description

This is a remote position.

Key Responsibilities:

  • Manage calendars and schedule showings, inspections, and meetings for lead agents

  • Coordinate showing requests with tenants, prospects, and other agents

  • Track buyer showing interest and proactively schedule appointments

  • Monitor and respond to time-sensitive emails in shared inboxes

  • Prepare and send listing agreements, leases, and buyer agency documents via SignNow

  • Upload and organize signed documents in Dropbox and deal management systems

  • Maintain accurate client and lead records in Follow Up Boss CRM

  • Draft, schedule, and post marketing content across social media platforms

  • Organize custom printed materials and manage ongoing mailer initiatives

  • Post video content to YouTube and maintain business listings on Yelp and Google

  • Coordinate and track client gifting (birthdays, anniversaries, and special events)

  • Create offer comparison spreadsheets and maintain agent interest lists for listings

  • Support event planning and send invites for client appreciation events

Requirements:

  • 2+ years experience in real estate, executive assistance, or admin support (real estate-specific strongly preferred)
  • Excellent calendar management and communication skills
  • Strong organization and attention to detail across multiple platforms (email, CRM, Dropbox)
  • Proficient with Google Workspace, SignNow, Follow Up Boss, and basic social media scheduling tools
  • Comfortable juggling multiple priorities and time-sensitive tasks
  • High degree of professionalism and discretion with client information
  • Strong writing skills for drafting emails, ads, and marketing materials
  • Self-starter with a solutions-first mindset and ability to anticipate needs
