Job Description

As a Financial Planning Assistant, you will support financial planners by preparing client review documents, managing financial applications, and ensuring smooth implementation of advice. You'll play an integral role in maintaining accuracy, compliance, and top-tier client service across all financial planning processes.

The Qualifications We Seek

  • 1 year of work experience in financial planning, with a strong background in administrative and client management roles.
  • Proficiency in XPlan is required.
  • High proficiency in MS Outlook, Word, and Excel.
  • Strong attention to detail and accuracy.
  • Ability to work under pressure and meet deadlines.
  • Excellent communication and follow-up skills.
  • Motivated, goal-oriented, and enthusiastic mindset.
  • Willingness to handle repetitive tasks.

Your Daily Tasks

Client Review Preparation:

  • Gather and analyze client data, including performance reports and product comparisons across superannuation, insurance, and investment platforms.
  • Prepare comprehensive client review documents and meeting packs for adviser use.

Document Preparation & Processing:

  • Generate insurance quotes and complete application forms.
  • Prepare other required documentation for client meetings and strategy implementation.

Client Follow-Up & Support:

  • Liaise with clients to collect necessary paperwork and provide timely updates on application progress.
  • Ensure all documents are accurately completed and submitted within deadlines.

Implementation Management:

  • Oversee the end-to-end implementation of financial advice, from lodgement to finalisation.
  • Track progress and proactively manage outstanding items.

Compliance & Record Management:

  • Ensure all client records and documentation meet internal compliance standards and regulatory requirements.
  • Maintain accurate and up-to-date records within CRM and file management systems.

Administrative Support:

  • Provide general administrative assistance to the Financial Planning team, including data entry, filing, report generation, and mail handling.
  • Assist with ad hoc tasks and ongoing database maintenance as required.
