We are looking for a Commercial Sales & Leasing Administration Support Officer to provide high-level administrative, marketing, and client-service support across commercial sales and leasing.

Qualifications and Attributes

  • At least 2 years of experience in property management, administrative or in a similar role
  • Any relevant bachelor's degree
  • Experience in property management under an Australian client/companyis required
  • High attention to detail and accuracy in administrative tasks
  • Strong organisational skills and the ability to manage multiple tasks simultaneously
  • Excellent written and verbal communication skills, with the ability to interact professionally with clients and residents
  • Proficiency in Microsoft Office applications and ability to learn new software quickly

Key duties

  • Property & listing admin
  • Prepare and maintain listings on internal systems and portals (e.g., Commercial Real Estate, ).
  • Maintain complete property files (authorities, titles, plans, keys register).
  • Build IMs, brochures, data packs; track ad spend vs budget; process adjustments/withdrawals promptly.

Contract & lease admin

  • Prepare standard contracts/offers/lease docs as directed.
  • Liaise with solicitors/settlement agents/property managers to hit deadlines.
  • Track milestones (acceptance, DD, finance, execution).
  • Manage execution packs and e-signing (DocuSign).
  • Handle confidentiality and privacy correctly.

Finance & compliance admin

  • Raise/track invoices (marketing, fees, settlements).
  • Prepare commission sheets for review.
  • Follow trust accounting procedures; keep audit-ready records.

Marketing & client support

  • Coordinate photos, floor plans, signage, website and social listings.
  • Draft ad copy aligned to brand.
  • Triage/respond to landlord/tenant/buyer enquiries within SLA.
  • Assist proposals/pitches/market appraisals.

CRM & systems

  • Maintain CRM (e.g., Re-Leased, MRI, Box+Dice, Rex); ensure clean data and activity logs.
  • Generate reports/dashboards for sales meetings.
  • Keep digital filing current and logically stored.
  • Monitor enquiry/inspection/marketing performance data.

Team & office support

  • Schedule meetings, take minutes, manage general correspondence.
  • Coordinate access/keys/inspections.
  • Suggest and implement process improvements.

Systems & Tools expected

  • CRM: Re-Leased, MRI, Box+Dice, Rex.
  • Portals/marketing: Commercial Real Estate, ; company website + socials; Canva or Adobe InDesign.
  • E-signing: DocuSign.
  • Office: Microsoft 365 (Word/Excel/PowerPoint/Outlook); Teams/SharePoint.
  • Trust/PM systems (nice-to-have): Property Tree, PropertyMe, Console.
